Junior Executive Administrative Assistant - New York, NY or remote with travel

We are looking for a Junior Executive Administrative Assistant to support the Department of Homeland Security (DHS) Science and Technology Directorate (S&T).

Technology and threats evolve rapidly in today's ever-changing environment. In response, DHS S&T was established by Congress to provide innovative scientific and technical solutions to the nation's homeland security challenges. DHS S&T supports basic and applied research, development, testing and evaluation (RDT&E) that provides the tools and knowledge products to support the Homeland Security missions of DHS components and first responders. DHS S&T supports these RDT&E activities at a range or performer and government facilities, including DHS S&T-run research facilities across the U.S.

This role serves as an executive administrative assistant for laboratory facility executive leadership and their team, facilitating meetings, reviewing and editing program documents, preparing draft responses for data calls, developing and updating briefings, assisting with report writing and compilation, and executing overall daily administrative duties.

Role functions may include:

  • Managing multiple assignments from team members in a busy work environment.
  • Facilitating meetings and capturing and tracking meeting action items.
  • Assisting with identification of programmatic strengths and weaknesses.
  • Reviewing and editing program documents.
  • Preparing draft responses for DHS other federal data calls and data requests.
  • Developing and updating program briefings.
  • Archiving and managing files to maintain a record of relevant documents in accordance with DHS Records Management guidance.
  • Coordinating information exchanges, reports, and action items between departments and laboratories.
  • Assisting with report writing and compilation as necessary.
  • Implementing process improvement initiatives as directed by leadership.

Required Qualifications:

  • Bachelor's degree OR Associate's degree and 4 years of relevant experience.
  • Applicants selected may be subject to a government security investigation and must meet eligibility requirements for access to classified information.
  • Ability to obtain a Secret-level Security Clearance and DHS Suitability.

Desired Qualifications:

  • Programmatic or management experience supporting DoD and/or DHS components (e.g., TSA, CBP, FPS, CISA, CWMD, USCG, ICE).
  • Ability to work collaboratively in a dynamic team-oriented environment, demonstrate teamwork and initiative, and function productively in the face of new assignments and the re-prioritization of existing assignments.
  • Strong communication and writing skills, targeting both technical and non-technical audiences.
  • Experience with administrative management of government offices preferred.
  • Demonstrated Records Management experience.
  • Experience with Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Secret-level Security Clearance and DHS Suitability preferred.
