POSITION: Regular Part TimeJudicial Assistant
DEPARTMENT: Superior Court I
SCHEDULE: Varies
SALARY: $1,504.80 biweekly

Incumbent serves as Judicial Assistant for the Tippecanoe County Superior Court 1, responsible for recording court proceedings, and providing clerical support to Superior Court 1 staff.

DUTIES:

Prepares courtroom for business of the day, including preparing for hearings or jury trials.

Maintains court calendar on computer, including pulling and organizing files for court proceedings, arranging transportation with Sheriff's office for inmates to court, and arranging telephonic scheduling conferences with attorneys.

Attends and makes audio recordings and notes of court proceedings, including operating recording equipment, taking notes, labeling recorded audio and archiving audio. Prepares exhibits for storage, including inventorying items, writing information on storage envelope, and filing in evidence room.

Performs various clerical duties as assigned or as needed, including preparing draft orders for Judge's approval from recordings and dictation, typing scheduling orders, documents, correspondence, and jury instructions, opening/distributing mail, ordering office supplies, and collecting mail from Tippecanoe County Office building as needed.

Assists jury process including mailing/receiving/distributing questionnaires, mailing information packets and summonses, responding to juror inquiries, preparing jury instructions provided by Judge, preparing and mailing letters of appreciation, accompanying jury during court recess, and arranging delivery of juror meals as needed.

Ensures there is a senior judge, temporary, or pro tem judge with qualifications/abilities to conduct court's business in Judge's absence.

Periodically assists in answering telephone and greeting office visitors, providing information and assistance, taking messages, or directing/transferring to appropriate individual or department.

Attends State trainings/conferences as required.

Performs related duties as assigned.

JOB REQUIREMENTS AND DIFFICULTY OF WORK:

High school diploma or GED.

Working knowledge of standard office and court policies, procedures, legal requirements and terminology, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.

Working knowledge of standard English grammar, spelling, and punctuation, and ability to prepare standard documents and orders from Judge's dictation.

Ability to take notes and type with speed and accuracy, and properly operate a variety of standard office equipment and case management systems, including tape recorder/transcriber, computer, printer, telephone, calculator, fax machine, and copier.

Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, law enforcement agencies, jurors, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.

Ability to provide public access to, or maintain confidentiality of, department information and records according to State requirements.

Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to understand, retain, and follow oral and written instructions.

Ability to work alone and with others in a team environment with minimum supervision.

Ability to occasionally work extended, weekend and/or evening hours.

RESPONSIBILITY:

Incumbent performs standard, recurring duties according to well-established policies and legal procedures, with priorities determined primarily by supervisor and service needs of the public. Incumbent's work is periodically reviewed for technical accuracy, adherence to instructions/ guidelines and department policies and procedures. Errors in incumbent's work are usually prevented through procedural safeguards and are detected through supervisory review and notification from other departments, agencies or the public. Undetected errors may result in loss of time for correction, work delays and/or inconvenience to other departments, agencies or the public.

PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, attorneys, law enforcement agencies, and the public for purposes of exchanging information.

Incumbent reports directly to Superior Court 1 Judge.

PHYSICAL EFFORT AND WORK ENVIRONMENT:

Incumbent performs duties in a standard office environment and courtroom involving sitting for long periods, sitting/walking at will, close vision, hearing communication, lifting/carrying objects weighing less than 25 pounds, handling/grasping/fingering objects and exposure to disturbing testimony, exhibits and evidence. Incumbent occasionally works extended, weekend and/or evening hours.
