About Us:
Helios Management Services is a small, locally owned company which specializes in providing comprehensive management solutions to locally owned hospitality businesses. These services include the running of timely payroll, the administration of human resource needs, accounting, and other management-oriented tasks. Our office keeps a staff of 4+ individuals with active involvement from ownership on a weekly basis. We pride ourselves on our comradery, and the ability to adapt to ever-changing needs.

Position Overview:
We are currently seeking a diligent and detail-oriented Human-Resources staff member to join our team. The position will be responsible for assisting in all aspects of Human Resources, and payroll administration, for multiple companies managed by Helios Management.

Key Responsibilities:
Process payroll accurately and timely using ADP
Accurately add payroll into the Payroll Protection Program administered by Hancock Whitney.
Prepare and distribute physical paychecks and ensure electronic transfers to employees.
Keep track and calculate payroll liabilities including FUTA, SUTA, and employer portion taxes.
Maintain updated and collated employee records, both physical and digital, and ensure proper filing and organization of any alterations such as pay adjustments, address changed etc.
Handle employee inquiries regarding employee benefits.
Handle 1099 contractors and ensure proper information is collected.
Assist in the administration of employee benefits, including health insurance coverage, workers' compensation, 401k contributions and employer matching.
Assist management teams with recruiting employees, including job postings, onboarding, and input into POS systems in a timely manner.
Prepare reports for management and executive officers as needed.
Stay updated on relevant HR and payroll regulations.

Qualifications:
Previous experience in HR and/or payroll administration preferred.
Basic understanding of accounting principles when it comes to payroll administration.
Proficiency in Microsoft Office suite, particularly Excel.
Excellent attention to detail and organizational skills.
Strong communication and interpersonal skills.
Ability to maintain confidentiality and handle sensitive information.
Experience with payroll software (ADP) is a plus.
Familiarity with Positive Pay Check Protection is a benefit but not required.

Questions you Should be Prepared to Answer:
If you suspect someone is missing hours on a paycheck, what process would you enact to resolve this issue?
If you someone has hours which cross over between pay periods, which pay period would these hours be allocated to?
How would you handle an employee who is upset because they discovered what they believe to be an error on their paycheck?
You discover a mistake on an employee’s year-end W-2’s sent out by ADP. What steps would you take to correct this mistake?
Do you have more experience processing direct deposits or writing out checks for employee payroll? What do you view as the strengths and weaknesses of either of these approaches?
What does CTC stand for a what items are involved in it?
Can you explain the term “gross payment” and how it relates to tax deductions?
An employee forgets to hand in their time-sheet adjustments before the deadline, making them short 5 hours on the current payroll. What do you do?
What is the difference between a W-2 and a W-4?
A 1099 contractor has failed to update their address, and their end of the year 1099 has been sent back to you. What do you do? What steps would you take to prevent this from happening in the future?
