Position: HR & Operations Assistant
Reports to: Chief Operating Officer
Location: 965 Clay St. San Francisco, CA 94108
Role Type: Regular part-time, non-exempt - Incumbent can choose which 4 days per week they work (30 hours per week total)

Mission:
The Chinese Historical Society of America collects, preserves, and illuminates the history of
Chinese in America by serving as a center for research, scholarship and learning to inspire a greater appreciation for, and knowledge of, their collective experience through exhibitions, public programs, and any other means for reaching the widest audience.

Who we are:
When founded in 1963, there were fewer than 250,000 people of Chinese descent living in the
US and CHSA was a lone voice for the study and dissemination of the history of this segment of the US population. Today, as the number of Chinese in the US has risen to nearly 5 million,
CHSA strives to be a responsible steward of the remarkable narrative of this rapidly growing and increasingly visible community.

What we do:
CHSA promotes the contributions and legacy of the Chinese in America through its exhibitions, publications, and educational and public programs in the Museum and Learning Center. We are housed in the landmark Julia Morgan-designed Chinatown YWCA building at 965 Clay Street,
San Francisco.

We offer tours of the Museum and the surrounding Chinatown community for a nominal charge.
We have extended our reach with online content and online exhibits through our main portal chsa.org, sharing information and news through our Facebook, Twitter, and Tumblr, and sharing photographs through our Instagram. We have also opened our doors to collaborations with others who want to share their stories and experiences through film screenings, book readings, presentations, workshops, panel discussions and so much more.

About the Role:
Chinese Historical Society of America seeks a highly motivated and energetic HR & Operations
Assistant. This role is the first of its kind for CHSA, and will provide support in many different areas including human resources, operations, facilities and IT. This position is perfect for someone looking to build, implement and scale processes for the museum. The HR responsibilities may require the accessing of confidential information, so good judgment and trustworthiness are critical to this role.

Duties and Responsibilities:
● HR

  • Assist with staff recruitment, including drafting & managing job postings, strategic outreach, vetting candidates and conducting new-hire orientations.
  • Assist with benefits administration, including processing enrollments and terminations, calsaver data entry, and assisting staff with benefits-related questions.
  • Assist with hiring, onboarding and termination procedures, including drafting correspondence, liaising with managers, and managing all related-paperwork and data entry.
  • Serve as a resource for general HR matters regarding payroll, benefits, and

CHSA policies. Ensure compliance on local, state and federal level of CHSA policies and processes.

  • Maintain CHSA’s computerized and hard-copy personnel and payroll files
  • Update HR driven materials such as phone directories, org charts, and emergency contact lists.

● Operations

  • Manage, maintain and oversee purchasing / ordering of general office supplies, office furniture, kitchen supplies, and hardware such as laptops, printers and monitors.
  • This position requires building and maintaining internal processes to track inventory systems, including offsite storages, and budget management related to office or facility needs.
  • Review vendor proposals and invoices in a timely manner, receive approvals for payments and ensure on time payment from accounting.
  • Manage annual insurance renewals for liability insurance, workers compensation, etc.
  • Act as the first point of contact for general CHSA inquiries by email and/or phone and redirect to the appropriate staff members.

● Facilities

  • Ensure office space appears kept and clean at all times, and supplies are in stock (pens, paper, post it notes, etc.)
  • Manage contracts and outsourced service providers (e.g. cleaning, waste management, security, construction, maintenance, etc.)

● IT

  • Manage and work with IT consultants to ensure security training requirements are upheld and maintain IT policy.
  • Be the onsite IT contact for IT issues for staff and contractors, then work with the

IT consulting firm for timely resolution.

  • Maximize organizational efficiency and impact through technology - promote staff adoption, and identify opportunities for improvements and innovations
  • Other IT projects as assigned .
  • Provide support to the COO as needed.

The ideal candidate will have the following qualifications:
● At least 3 years of experience in the following areas:

  • Providing light HR support
  • Maintaining accurate invoice and budget tracking
  • Office and facilities management
  • Customer service experience

● Detail oriented and sense of urgency.
● Proactive and self starter.
● High level of execution.
● Proficiency in Microsoft Office Suite and Google suite.
● Excellent communication skills with the ability to impart CHSA policies to employees with accuracy and grace.
● 4-year University degree.

Preferred Skills:
● Bilingual in Chinese (Cantonese and/or Mandarin).

Physical Requirements:
Position is primarily sedentary with walking, standing, stooping periodically throughout the workday. 25-pound lifting requirements.

Compensation:
$27/hour.
