POSITION TITLE: HR Onboarding and Engagement Specialist
PROGRAM: Administration
DEPARTMENT: Human Resources
STATUS: Full-Time (FT)/Salaried
LOCATION: Louisville, KY
OVERVIEW:
Under supervision of the HR Manager and the Chief People Officer, The HR Onboarding & Engagement Specialist performs a variety of functions that provide support for both prospective candidates as well as new hire employees throughout the entire onboarding process. Provides an exceptional experience for new employees to enhance their overall level of engagement and improve the retention of new talent.
REQUIREMENTS:
The position requires a Bachelor’s Degree in Human Resources Management or equivalent. Must have demonstrated ability to function in a fast-paced office environment. Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. A Working understanding of human resource principles, practices and procedures. Two years prior experience in Human Resources is required. At least three (3) years of experience in Human Resources, supporting talent acquisition/recruiting/onboarding processes, or related HR functions.

• While performing the duties of this job, the employee is regularly required to talk and hear what is being said and/or discussed.
• This position will frequently be required to sit, stand, walk, reach with hands and arms, and use hands to finger, feel, handle, or write.
• The ability to safely operate a motor vehicle to transport oneself.
• The physical ability to travel to program locations, stand, stoop, bend, reach, pull, push, lift, grasp, climb, talk, see, hear and operate office equipment
• Move and lift light objects up to 30 pounds such as mail, supplies, files, equipment, tables, etc.
RESPONSIBILITIES:
• Coordinates the new hire onboarding & orientation survey process, and generates reports and suggestions for improvement related to that data to help enhance the hiring and onboarding experience.
• Act as a resource to all new hires and their managers with questions and supply necessary resources needed to successfully bring them aboard.
• Oversees the Electronic Onboarding Portal of the ATS to ensure efficiency and a welcoming and engaging experience for all new hires.
• Coordinates, monitors and communicates information related to scheduling new hires for orientation sessions to ensure a smooth transference into the workplace.
• Regularly assesses and recommends program changes and enhancements to drive better retention and engagement of new hires.
• Enters data into the Paycor and applicant tracking system, and prepares new employee personnel files and orientation information packets.
• Gathers all new hire documents, I-9’s, W-4’s, background check clearances, other related personnel forms, verifies I-9’s via the federal E-Verify process.
• Collects and ensures documentation of requirements on new hires’ job descriptions such as licenses, certifications, education degrees, etc.
• Assist existing employees when they move to a new department or position.
• Assist in off boarding staff when they leave the organization, including working with ABS and the Director of Operations Support to ensure a seamless off boarding experience.
• Produce termination and new hire reports to assist with the onboarding and off boarding process.
• Participate and/or leads various onboarding or HR projects and initiatives.
• Serves as the focal point for new hires, making sure the supervisors are engaging with the teams, and working on site activities to improve engagement
• Assist with compliance audits as directed
• Creates and distributes the HR News Letter.
• Serves as backup for job ads and postings and attends Job Fairs as needed.
• Excellent time management skills with a proven ability to meet deadlines.
• Ability to function well in a high-paced and at times stressful environment.
• Proficient with Microsoft Office Suite or related software.
• Preparing onboarding kits (e.g. stationary, T-shirts and mugs
