Job description

One of the leading affordable housing nonprofits in the area, Habitat Charlotte Region partners with hundreds of families each year through affordable homeownership, home preservation and financial literacy training. As a Grants Accounting Specialist, you'll play an integral role in our vision of a world where everyone has a safe and affordable place to live.Efficiently design and maintain the current warehouse storage facility for maximum effectiveness. Provide availability of materials, to the field construction staff, allowing for the smooth, uninterrupted execution of building schedules. Coordination of ordering, delivery and usage of material, In-kind donations as well as purchased inventory items that flow through the warehouse. Look for new ways to improve the process of all warehouse functions.
 
Key Responsibilities:
Coordinate Grant Reporting
Support production of monthly, quarterly, annual and close-out reports for high compliance (mostly government funded) grants received by Habitat Charlotte Region.
Coordinate processes for collecting data necessary to generate required reports.
Complete the assembly and timely submittal of grant reimbursement requests, ensuring only eligible expenses are included, required documentation is complete and accurate, and reports are assembled per funder requirements.
Ensure timely and accurate submittal of any other funder-required reports.
Tracking the accomplishment of deliverables set forth in each contract.
Assist in project specific grant assignments and submission of information to funders as needed.
Manage warehouse space for most efficient utilization.
FIFO inventory control on Appliances.
File and track orders through HFHI In-kind website.
Order purchased items.
Manage Jobsite Orders through inventory tracking system.
Manage timely fulfillment of jobsite orders.
Use of ReStore donations for building materials when available and appropriate.
Search for most cost effective sources for warehoused materials. 
Give direction to the Tuesday Crew concerning component requirements and special requests.
Ensure available materials for Tuesday Crew work.
Coordinate deliveries and storage of all incoming materials.
Train HabiCorps and other field staff in warehouse procedures.
Coordinate recycling programs for LEED, asphalt shingles, cardboard, wood pallets as they apply to the warehouse.
Warehouse facility maintenance and security.
Interaction with City Manager of Warehouse property as required.
Material support for other area Habitat Affiliates.

Coordinate Grant Invoicing
Prepare invoicing for grant contracts on a timely basis.
Coordinate processes for collecting necessary back-up for invoicing by working closely applicable staff to ensure that invoices are correct, complete and tracked appropriately.
Collect time tracking reports from program staff and prepare billing backup reports. Maintain up to date salary and benefits information for necessary program staff.
Ensure that flow down requirements for subcontractors are being met.
Collect data and support report completion for Section 3 and Davis Bacon.
Complete initial review of reports and reimbursement requests completed by Senior Grants Accounting Specialist.
Prepare billing ledger for reimbursement requests to be completed by Senior Grants Accounting Specialist.

Grant Compliance
Maintain a current knowledge of grant contracts and compliance and as needed research and make recommendations on complex compliance requirements. Organize, file, and maintain copies of any documentation, reports and invoices required for grant audits and monitoring visits.
Coordinate the collection and maintenance of government grant-related information and documentation across departments.
Develop and maintain accurate files (including electronic database records) and tracking methods for the following aspects of government grants: funder communications, awards, contracts, draw requests, reporting, compliance, and grant closeout.
Ensure procurement of subcontractors is compliant with grant requirements, including but not limited to bid process, bid award, and subcontractor contract.
Update program documents annually to ensure required language for grants.

Education/Skills:
Five years of experience in warehouse management preferred.
Preferred experience with grant and contract reporting requirements.
Strong attention to detail.
Proficient in Excel, Word, Power Point.
Strong Organizational Skills.
Good Communication Skills.

Compensation
Salary Range:Starting at $20/hr
