Job Description

Job Summary

This position is responsible for the development and management for the Global Executive Assistant population to ensure growth, development, and high performance across the globe. It also functions as an Executive Assistant and relieves the executive of administrative type functions in order to increase the time an executive has available for executive level responsibilities. May handle a wide variety of situations involving the clerical and administrative function of the corporate office. Responsible for meeting and event planning in partnership with the Communications team. Responsible for confidential and time sensitive material. A wide degree of creativity and latitude is expected.  This position supports the President.

 

Responsibilities:

  Provide high-level administrative support to the executives of varying levels, i.e. presentations, handle tasks of a highly confidential nature, reports, travel and lodging, itineraries, personal expense reports and other tasks, meeting minutes, calendars, etc.

  Manage the global Executive Assistant(s) and Administrative Assistant(s) team.  Responsibilities include but not limited to, hiring/selection, daily support, annual performance reviews, and continuous professional development.

  Ensure the administrative support provided across the globe is of the highest quality and meets executive needs on a consistent basis.

  Support and/or coordinate the administrative tasks associated with large scale company events (with team of EAs) to ensure a smooth and organized process.  This responsibility includes but may not be limited to travel coordination, lodging, meal selections, transportation, budgets, location setup and preparation, and on-site coordination during event(s).

  Support AGS President and represent AGS during Allegis Group Leadership meetings.

  Plan, Manage, and Execute Leadership Team meetings with President's senior leadership team.

  Act as POC for corporate meetings and events, ensuring all necessary preparations are made.

  Manage and approve expenses for the Senior Leadership team globally, including reviewing receipts and utilizing concur.

  Act as Office Manager of Corporate: responsibility includes managing seating charts, onboarding coordination with HR, and supporting the Employee Experience.

  Maintains and updates calendars and coordinates scheduling and conference calls

  Reviews and routes incoming mail and faxes.  Prepares and processes outgoing mail, arranging for faxing, specialized mail or messenger services as required.  Screens phone calls and dictates messages as required.

  May manage additional programs including, but not limited to flower purchases, anniversary gifts, recognition moments, new hire welcome, etc.

Qualifications

  5+ years' experience supporting Senior /C suite level Executives

 10+ years' experience within an administrative capacity

  5+ years managing and leading a team of administrative professionals

  Strong proficiency in Office 365 Products

  Experience Budgeting and Producing Expense Reports

  Certification in C-Vent software for event planning

  Demonstrated ability to learn and utilize new technologies

  Strong written and verbal communication skills

  Strong organization and time management skills

  Demonstrated discretion dealing with highly confidential information

  Experience supporting multiple executives simultaneously
