Job Description
We are looking for a professional Front Office Receptionist to manage our front desk, along with another admin, on a daily basis and to perform a variety of administrative and clerical tasks.
This is a key position, as the face of the company, with several responsibilities including answering multi-line phones, directing calls to the appropriate department, answering general customer & employee questions, as well as greeting & assisting all visitors in a positive manner.
What you will get to do:
- Answer phones & greet guests as they arrive
- Email phone messages to proper departments
- Inform department heads when applicants or vendors arrive
- Provide and assist new applicants initial paperwork
- Assist department heads with daily tasks (on an as needed basis)
- Responsible for incoming & outgoing mail via USPS, FedEx & UPS
- Preparing training materials for classes and meetings
- Ordering food for training classes and meetings
- Other duties may be assigned as needed
What we require:
- Intermediate/proficient knowledge of Microsoft Office including Word, Excel & Outlook
- Must be able to write business form letters and emails
- Basic knowledge of CRM – database
- Ability to speak clearly, concisely -- Good grammar skills (written and oral) are necessary to be successful in this position
- Be organized!
- Must have a positive attitude since you will be dealing with in-coming customers’ calls and vendors.
- Must be able to work in a sometimes loud & fast paced environment
