This is a temporary to permanent position. The candidate should be prepared to handle a multi-line phone system and a high number of calls.
Candidate oversees the Front Desk, performs clerical and administrative tasks. Punctuality, prioritizing and reliability are critical. Primary duties include:
- Opens and closes the office.
- Answers all incoming calls, screens calls, re-directs to the appropriate party.
- Takes messages and contacts clients as needed.
- Coordinates and manages the appointment calendar.
- Sends reminder texts to clients, confirms all appointments.
- Prepares files for upcoming appointments and provides to staff.
- Sorts out incoming mail, scans to company system & enters data into software.
- Scans & mails out all office correspondence.
- Maintains a clean and professional appearance of the reception area, client lounge and conference room.
- Keeps track of supply inventory.
- Provides support to personnel as needed.
- Working knowledge of Microsoft Office, Outlook and/or InsZoom plus.
Candidate should have the ability to “think outside the box” and be able to communicate with people who may not fluently speak English. We are looking for someone with great communication skills who is a team player and not afraid to work independently. Experience in a law office preferred but not required, we will train the right candidate!
Job Types: Full-time, Temp-to-hire
Pay: $18.00 - $20.00 per hour
Expected hours: 35 – 40 per week
