POSITION SUMMARY:

To complete the detail and written work and to coordinate other matters essential to the
efficiency and effectiveness of the central office administration.

ESSENTIAL JOB FUNCTIONS

Administrative Secretary to Superintendent:
  1. Assist and act in a confidential capacity with respect to determining and effectively managing procedures or school board policies.
  2. Take and transcribe dictation of various types to include: board minutes, correspondence, reports, notices, personnel recommendations, proposals and proof read at a high level of accuracy.
  3. Assist with developing of legal notices, faculty bulletins, district directory, legal advertisements, and personnel advertisements.
  4. Assist the superintendent in scheduling of meetings, appointments, presentations on a daily, weekly, monthly basis.

Administrative Secretary to Assistant Superintendent:
  1. Serve as Custodian of Records whose duties are; at the directive of the Superintendent responds to requests and provide reasonable opportunity and facilities to inspect records and to furnish copies of requested records within a reasonable time frame at the actual cost of the copies.
  2. All applications on file for 6 months.
  3. Type all necessary paperwork as assigned by the Assistant Superintendent.
  4. Assist in securing required legal documents to include: Contracts, Employment Agreements and the official minutes of the Board of Education meetings.
  5. Maintain and keep up to date Board minute book (signatures)
2. Prepare board packets, attend board meetings, and transcribe minutes.
  1. Facilitate social and food arrangements for meetings with the board of education, administration, and any other personnel that meet with the board, superintendent, or the director of instruction.
Administrative Assistant to the Board of Education:
  1. Assist in securing required legal documents to include: Contracts, Employment Agreements and the official minutes of the Board of Education meetings.
  2. Maintain and keep up to date Board minute book (signatures)
  3. Attend BOE meetings, trainings, workshops, and retreats
  4. Prepare and complete required forms for all board business (registration, hotel, vehicle use, board compensation, out of state/district travel, per diem, etc.)
