The Executive Assistant will provide administrative support to the Founding Dean of the College of Health Sciences, while also supporting the administrative needs of the developing college, as well as its schools and academic programs. The college will advance the University’s mission and strategic plan by developing skilled healthcare professionals who seek to lead while serving our communities and the world. In supporting the college in achieving its mission, the Executive Assistant will advance Pepperdine’s mission and strategic plan.
Duties
- Responsible for calendar management (coordinate travel arrangements, lunches, meetings, and events), processing vendor payments, credit card billing, employee contracts; recharge forms, and reconciliations; administering files; greeting visitors; formulating and maintaining spreadsheets and databases; interfacing with departments and external vendors and executive-level offices; maintaining office supplies, equipment, and break room; assisting with special projects as needed.
- Act on the Dean's behalf in identifying and resolving issues and making recommendations for action consistent with the priorities of the college and its schools and programs.
- Responsible for researching, developing, reviewing, and editing presentations, preparing documents, writing and editing reports, benchmarking, and researching data for presentations, conferences, seminars, and reports.
- Independently responsible for managing the Dean's calendar and appointment schedule based on the needs and priorities of the Dean.
- Plan and monitor special projects for the Dean, proactively researching and determining available resource requirements; utilizing appropriate technologies/methodologies to help administratively support project completion.
- Support the broader administrative functions of the College of Health Sciences during its development, including providing administrative support to college staff and personnel.
- Participate in the recruitment, interviewing, and hiring of other administrative staff as the college develops. Once new support staff are hired, participate in their training and professional development.
- Serve as the Dean's liaison to various constituents through written, phone, and in-person correspondence.
- Perform other duties as assigned.

The College of Health Science is early in its development. As needs arise, the Executive Assistant to the Dean must be adaptable and adept at responding to unexpected requests and responsibilities should they arise. Additionally, it is reasonable to expect that as the college develops, the Executive Assistant’s duties will become more focused on supporting the Dean, senior college leadership, and college initiatives as additional staff provide administrative support for the college’s schools and programs.

Required: Bachelor's degree. Strong interpersonal communication and administrative support skills. Strong computer and technology skills. Ability to organize, prioritize, and perform work while under pressure Ability to proactively address issues and take initiative and ownership of projects, and maintain confidentiality of highly sensitive matters. Ability to routinely and independently exercise sound judgment in making decisions. Experience in handling a wide range of administrative and executive support-related tasks. Exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a developing college with diverse projects and priorities. Ability to interact with staff (at all levels) in a fast-paced environment, remaining proactive, resourceful, and efficient, with a high level of professionalism. Utilize multi-tasking and problem-solving skills on a myriad of levels, from rearranging complex schedules to revising and refining existing policies. Exceptional written and verbal communication skills, strong decision-making ability, and attention to detail. Ability to use sound judgment and prior experience to proactively respond to novel situations and further the development of projects and initiatives.
Preferred: A minimum of 2-3 years experience in an office setting and/or administrative position. Experience as office manager, Executive Assistant, or administrative assistant. Familiarity with Pepperdine University and its Christian mission.

This is a Regular, Exempt, 40 hour per week position.
Expected Pay Range: $66,560 - $72,000 per year
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
