Position Summary
Movi Communications is seeking a highly organized Executive Assistant to support the CEO. The desired candidate must have strong Spanish communication skills with the ability to balance an array of administrative/personal tasks and projects. This is a good entry-level opportunity for someone with an interest of growing within the operations department!
Roles and responsibilities
- Manage and maintain the CEO’s calendar strategically and effectively; schedule and confirm appointments to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
- Anticipate the CEO’s needs in advance of meetings, conferences, and take notes on meetings and calls.
- Arrange travel accommodations (domestic & international), including flights, hotel, ground transportation and other related logistics for the CEO and client related projects.
- Manage and reconcile expense reports, receipts, expense tracking & processing on a Monthly basis.
- Be the first point of contact for the CEO with clients and the Movi team.
- Manage special requests and related duties including running errands for the CEO as needed.
- Maintain a high level of discretion and confidentiality in all business and personal matters.
- Work closely with the Operations and Finance department with necessary Spanish translations, invoice tracking, and overall administrative support.
- Manage the office with maintaining inventory, purchasing office supplies, technical support, etc.
Preferred Qualifications
- Bachelor's degree or applicable experience.
- 1-2 years of administrative or personal assistant experience preferred. Recent grads encouraged to apply!
- Excellent communication skills in Spanish, both written and verbal.
- Experience with calendar management, scheduling, and meeting coordination.
- Experience with coordinating travel arrangements and bookings.
- Knowledge of Google Workspace (sheets, docs, and slides), and familiarity with project management software (ClickUp, Harvest) and design software (Canva, Photoshop, etc.)
- Must exercise extreme confidentiality and discretion.
- Have a reliable mode of transportation and a valid driver’s license.
This is an in-person position, and the Executive Assistant will work five days per week out of the Company’s Los Angeles office.
