Job Summary:
Blavity Inc. is looking for a full-time Executive Assistant to support the Chief Executive Officer. This role includes managing complex travel, schedule, research, correspondence and projects which require critical thinking and anticipating needs.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This is a great opportunity for a person that is extremely organized and detail oriented (this cannot be overstated) that wants to learn more about media, content, advertising or DE&I talent solutions.
This role will report directly to the Chief of Staff, in service of the CEO.
Responsibilities:
- Manage a heavy calendar; schedule and confirm appointments in a strategic manner, considering the CEO’s schedule several weeks out to ensure they are well prepared for what is ahead and that the calendar is set to optimize CEO time and priorities
- Arrange complex and detailed travel plans, itineraries, and agendas, including arranging point-to-point transportation
- Establish effective processes and systems, track deadlines, and follow up on approvals regarding all executives
- Draft correspondence, agenda items, reports, presentations, and other documents often of a highly sensitive and confidential nature
- Oversee the administrative success of all meetings CEO is involved in from preparation, in-meeting detailed notes, dissemination of concise actions, notes and summary to tracking completion of all meeting outcomes
- Independently research issues to provide recommendations for decision-making purposes
- Provide support on any special research or planning project
- Capture key contact information and relationship details in Office of the CEO relationship tracker
- Coordinate all CEO hosted events, leadership retreats, executive team meetings and events in collaboration with the People Operations team
- Support Chief of Staff with screenings and candidate tracking for select senior level hires
- Assist Chief of Staff with creation and modification of presentations, spreadsheets, charts, and other documents
- Draft and post LinkedIn posts on CEO’s behalf that amplify Blavity Inc. endeavors
- Maintain discretion and confidentiality in all business and personal matters
Qualifications:
- Education: BA
- Required Experience:
- 3+ years as an Executive Assistant to a CEO, Founder or President
- Technologies:
- Must have elevated level of proficiency in Google WorkSpace (Calendar, docs, sheets and slides)
- Experience with platforms like Airtable, Asana and others is preferred but not required
- Additional Qualifications:
- Extraordinarily organized with high attention to detail
- Demonstrated written communication and verbal presentation skills, with an ability to synthesize and express concepts efficiently and effectively to a wide range of audiences
- Ability to thrive in an accelerated environment, think creatively, and produce innovative solutions
- Demonstrated experience working with all levels of executives, internally and externally
- A healthy appreciation of GIFs and Black culture
Details:
- This is a fully remote role, travel will be required.
- Candidates must be available to work at least 50% in alignment with the Central Time Zone.
- The salary range for this role is $80,000 - $95,000.
