ResponsibilitiesMillennium Corporation is hiring an Executive Assistant in Ft. Belvoir, VA. Candidate must have an active Secret Clearance.
The Executive Assistant (EA) will support the PM & DPM and lead EA for all O5 Program/Product Offices. Manage the PM/DPM phones and calendars on a daily basis. Facilitate communication at multiple echelons, ensuring talking points are in-line with the PM & DPM messaging, as well as ensuring tasks and issues are communicated at the appropriate levels. Ensure the PM&DPM Calendars are synch to ensure leadership is aware of events and meetings. Ensure the purpose of the meeting, attendees, and Teleconference/ information are present within the body of the meeting invite. Ask for clarification from the PM or DPM if there is a conflict with calendar events. Responsible for dialing in conference lines at the meeting location's for the PM/DPM as the host for all PM &DPM meetings NLT 10 mins prior to the start of the meeting and conduct a Role call to ensure all attendees are present (Subject to meeting location). Update briefings, documents for meetings as you receive them and inform leadership of any changes. Ensure meetings presentation/briefings are printed (In the Format Designated by the PM or DPM) at least one (24hrs) prior to the meeting. Ensure PM& DPM stay on schedule with a reminder (In-Person or phone call). Ensure a printed daily calendar is delivered to the PM & DPM in the format he specified.
- Coordinate PM/DPM travel arrangements in DTS to include closeout of vouchers. Ensure travel arrangements (Mode of travel, Flight, rental car, hotel, briefing slides, etc.) are confirmed by face-to-face meeting before generating final travel arrangements. Inform Leadership when travel vouchers are ready for signatures. Build travel package (orders, maps, and agenda) for PM/DPM. Prepare and deliver PM/DPM travel packets 24hrs prior to travel and delivered to leadership for a face-to-face review.
- Serves as special events coordinator for the Project Manager during special events he'll be hosting. (Award presentation, Town Halls, etc.). Ensure all personnel are informed who will be attending and that all awards are present.
- Review technical accuracy of all documents for compliance with AR 25-50. Prioritize documents requiring PM/DPM action and inform the leadership when a document needs to moved up in priority.
- Prepare/Update office administrative policies and procedures as needed and inform the PM/DPM when changes occur. Maintain a hard-copy and digital record of policies and procedures so that they can be easily be access.
- Manage badge renewal process for PM-TS FBV offices.
- Manage IN/OUT Processing of personnel at Fort Belvoir with the PM-TS Human Resource (HR) Team. Ensure all incoming and outgoing Government/ Military (Contractors are Optional) personnel see the PM/DPM for an entry/exit interview.
- Brief PM/DPM on all staff changes. Update PM-TS Task Org with PM-TS OPS Lead as needed and provide a digital/hardcopy to the PM/DPM.
- Receives, screens, and answers telephonic and personnel needing to speak or meet with the PM/DPM. Announce telephone calls and personnel prior to them speaking or meeting with the PM/DPM. Ensure missed telephone calls or messages (Who, Purpose, and how they can be reached) are promptly delivered to the PM/DPM if they are unavailable. Ensure phone calls are covered when you are not present to receive them.
- Manage visitors to Ft. Belvoir buildings with PM-TS HQ Operations: Keep a log of all visitors and the purpose of their visit to PM-TS. All visitors must be announced to the leadership prior to their arrival and when they have arrived.
- Manage classified materials, confidentially, and sensitive information in accordance with DoD Standards.
- PM-TS OPS Lead will Set-up Secure/Unsecure VTC/Dial-in Numbers for the PM/DPM with NEC or other Facilities Managers. Inform the PM/DPM when this action is confirm.
- Coordinate conference room and offsite scheduling for the PM/DPM.
- Manage GOVT Vehicle request for the PM/DPM with assistance from PM-TS Operations. Ensure leadership has a government vehicle for all local travel when requested.
- Assigned as the Mail POC for PM-TS Fort Belvoir. Ensure all mail is delivered to the appropriate section or person.
- Ensure burn bags are properly marked and disposed of in accordance with the PM-TS & NVESD/ RTI policy.
- Serves as the Administrator for MIRARS attendance and report status to the PM/DPM NLT 11:30hrs daily. Personnel not reported in MIRARS are to be reported to the PM/DPM immediately. Unless otherwise directed.
- Update/Maintain Emergency SOP and Personnel Phone list for PM-TS and review with DPM on a monthly basis.
- Brief calendar and upcoming travel/events. Ensure all PM-TS primary staff/O5s PM/DPMs events are accurately reflected on the O6 (PM/DPM) calendar.
- Process PM/DPM Joint Personnel Adjudication System (JPAS)/ Defense Security Service (DSS) request.
- Maintain digital log of all Industry and TS internal updates and decision briefings.
- Performs other duties as assigned

- BS/BA degree with 8 years of experience
Poised in dealing with Senior Leadership up to General Office / Senior Executive Service levels. Extensive experience with Word, Excel, PowerPoint, SharePoint, MS TEAMS and using databases. Extensive experience with the Defense Travel System (DTS)
Excellent written and oral communications skills. Must have good interpersonal and conflict resolution skills, and ability to handle confidential matters and demanding personalities. Must have a professional appearance and demeanor. Must be proactive and solution-oriented problem solver
Experience with Automated Time Attendance and Production System (ATAAPS), Joint Personnel Adjudications System (JPAS) / Defense Information Security System (DISS), Manpower Information Retrieval and Reporting System (MIRARS). PEO Office (HQ/ O6 level) Department of the Army Staff level work experience. Experience with the Army Task Management Tool (TMT).
- Certified Administrative Professional (CAP) - Strongly Desired
Assist with Business Development activities as required to support Millennium's strategic business objectives, which may include but not limited to participation in technical interviews, creation of technical documentation, general proposal writing support and proposal color reviews.
Physical Requirements- Must be comfortable with prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 10-15 pounds at a time.
