Executive Assistant:

We are looking for an Executive Assistant to support our CFO and CEO. The Executive Assistant provides logistical support in a one-on-one working relationship with the CEO and COO. Serves as a liaison to the board of directors and senior management teams. Organizes and coordinates executive schedules and oversees special projects.
Job Responsibilities:
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Ensures all meetings run smoothly, inclusive of confirming attendees, preparing documents, ordering lunch, booking conference rooms, and providing all A/V needs
- Follows direction accurately, handling matters expeditiously, proactively, and following through on projects to successful completion
- Composes written email, letters, or documents grammatically correct
- Accurately tracks expenses for CEO/COO and others by managing receipts and submitting expense reports to accounting
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies
- Maintains discretion and confidentiality with all information and relationships
- Takes notes and distributes meeting minutes, agendas, and meeting packages
- Manages reception staff responsibilities
- Assist in any other project or duties as requested by CEO/COO
Job Qualifications:
- Bachelors degree
- Two to five years of experience supporting C-Level Executives
- Proven ability to handle confidential information with discretion
- Expert level in written and verbal communication skills
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Highly resourceful team player, with the ability to also be extremely effective independently
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms
Compensation package:
- $60,000 - $65,000 salary
