Description
The Executive Administrative Assistant is responsible for providing comprehensive support to the CEO, Executive team, and other management staff to facilitate effective and efficient operations. Key areas of support include Board and committee meetings, internal and external communications, scheduling and logistics, and the organization.
As a condition of employment, Summit Community Care Clinic requires COVID-19 vaccination of all clinical and non-clinical staff.
Essential Functions:
  1. Act as the point of contact between the CEO, employees, clients, and external partners.
  2. Manage information flow in a timely and accurate manner.
  3. Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Responsible for other staff travel coordination as well.
  4. Assist Board Members, attend board committees and board meetings, record minutes and support CEO in preparing for meetings.
  5. Support CEO involvement in external committees and professional associations.
  6. Support CEO involvement in fundraising and community outreach functions in close collaboration with Development staff.
  7. Responsible for policy management by updating and organizing board approved policies.
  8. Responsible for contract management, including ensuring signatures, filings, and tracking deadlines and renewals.
  9. Format information for internal and external communications, including memos, emails, presentations, contracts, and reports.
  10. Coordinate weekly staff meetings, recording and distributing notes for both staff and management meetings.
  11. Plan and help implement staff retreat and company functions by providing support for logistics, communication, and planning.
  12. Organize and maintain office filing systems as assigned, including but not limited to shared drives, Compliatric, and/or other information management systems.
  13. Act as an office manager by performing miscellaneous errands and maintaining supply inventories and postal/courier needs.
  14. Collect and scan billing and other communications to the appropriate teams.
  15. Pick up deposits at appropriate sites, organize and take to bank.
  16. Assist CEO and other management team with administrative duties as directed.
  17. Support administrative tasks of key leadership staff, as identified in collaboration with CEO.
  18. Other duties as assigned by supervisor.

Additional Requirements:
  1. Grants are a vital part of Care Clinic revenues and directly or indirectly support all positions. This role may have responsibilities that are closely associated with grant deliverables. Grants and grant responsibilities may change over time.
  2. Complete all required trainings as designated by HR and the position supervisor.
  3. Adhere to all policies within organization and those outlined withing the SCCC Employee Handbook.
  4. Comply with all SCCC Vaccine Mandates.
  5. Willingness to travel and work at other SCCC locations as determined by the supervisor.
  6. Comply with all applicable Credentialing and Privileging requirements timely.
  7. Embrace the SCCC Mission and Vision and agree to work within the SCCC Guiding Principles and the principles set by the position supervisor.
  8. Must participate in quality assurance/ improvement activities when applicable.

Requirements
Education/Experience:
Must Haves to be successful:
  • Bachelor's degree.
  • Work experience as an Executive Assistant, Personal Assistant, or similar role.
  • Outstanding organizational and time management skills and the ability to organize and coordinate multiple projects at once.
  • Excellent MS Office and Adobe Acrobat Pro Knowledge with aptitude to learn new software systems.
  • Attention to detail.
  • Professional discretion.
  • Superb verbal and written communication skills.
  • Ability to tolerate high stress situations.

Nice to Haves:
  • Ability to speak Spanish (bilingual) is preferred.

Work Environment:
The work environment is in a healthcare setting and can be fast paced and involves communication with patients and medical personnel. This role is highly clerical in nature. Requires ability to work autonomously and stay on task. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job. The noise level in the work environment is usually moderate.
