Job Description
SUMMARY:
Executive Administrative Assistant performs administrative duties for the Chief Executive Officer (CEO), Chief Financial Officer (CFO) and Chief Operating Officer (COO).
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following:
- Acts as the main point of contact between executives and internal / external guests.
- Composes, types correspondence, meeting minutes, reports and miscellaneous paperwork.
- Handles in-coming and outgoing mail. Faxes as needed. Files as needed.
- Receiving calls, takes messages and routing calls to appropriate individual / department / entity.
- Handles requests and queries.
- Calendar management, to include arranging and scheduling meetings, appointments, and reminders.
- Makes travel arrangements.
- Take meeting minutes and dictation, and accurately enter data.
- Compiles and distributes meeting minutes, agendas, calendars to appropriate individuals / departments / entities.
- Handles incoming and outgoing mail.
- Interacts with all levels of management, internal / external guests, and agencies in a courteous and professional manner.
- Maintains the highest level of confidentiality and professionalism.
- Responsible for maintaining a consistent, regular attendance record.

Must be proficient in English, possess excellent communication skills, be highly organized, detail oriented and maintain the highest level of confidentiality within the department and the company.
Strong personal credibility with demonstrated ability to build trusted relationships with internal and external customers.
Must be computer-literate and have excellent knowledge of Microsoft Office.
Ability to read, analyze, and interpret documents.
Ability to respond to common inquiries or complaints.
Ability to apply commonsense understanding to carry out instructions furnished in writing, orally or diagram form.
Ability to problem solve and think critically.
Ability to multitask and prioritize.
