Job Description
Robert Half has an opening for an Executive Assistant who will use their proficiency with administrative tasks to aid a management team/CEO. This Executive Assistant role is located in the Baltimore, Maryland area and is a permanent employment opportunity.
Key responsibilities
· Manage scheduling for Company Executive(s)
· Coordinate travel & accommodations for the CEO and others at the company
· Organize company events
· Draft, Review and send communications on behalf of Company Executive(s)
· Answer and respond to phone calls, communicate messages and information to the executive(s)
· Prioritize emails and respond when necessary
· Managing Audit documentation.
· Maintain various records and documents for company Executive(s)
· Prepare, reconcile, and submit expense reports
· Maintain paper and electronic filing systems
· Order and maintain stock of promotional items.
· Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
· Complete a variety of special projects including creating PowerPoint presentation, financial spreadsheets, special reports, and agenda materials
· Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Requirements:
· Proven administrative assistant experience
· Extremely Tech Savvy
· Strong phone contact handling skills and active listening
· Excellent communication and presentation skills
· Ability to multi-task, prioritize and manage time effectively
· High school diploma or equivalent; college degree preferred
