ABOUT THE POSITION
The Executive Administrative Assistant reports directly to the Executive Director, providing executive, administrative, and development support to the Executive Director and Board of Directors. The Executive Administrative Assistant also serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Director. The ideal candidate will be a self starter, proactive problem solver with exceptional communication skills and meticulous attention for details. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
PRIMARY RESPONSIBILITIES AND DUTIES
- Manage scheduling for Executive Director, including agendas, mail, email, phone calls, client management, and other organization logistics
- Prep executive for meetings with detailed briefs, agendas, and intended outcomes. Conduct research and analysis to provide strategic insight and support executive decision-making
- Send thank you notes to supporters, friends and other noted individuals in a timely manner according to guidelines
- Research and prepare profile portfolios for stakeholder meetings
- Coordinate complex scheduling and calendar management, as well as content and flow of information to executive and leadership teams
- Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
- Manage project and event timelines and planning as needed, while effectively communicating project status and related information as required.
- May be asked to staff Executive Director to stakeholder events
- Update donor database after each stakeholder meeting to include clearly defined next steps
- Maintain professionalism and strict confidentiality with all materials
QUALIFICATIONS
The Executive Administrative Assistant should demonstrate competence in some or all of the following:
- Four or more years of experience in an administrative role reporting directly to executive leadership
- Associate’s Degree
- Self starter with strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Excellent verbal and written communications skills including editing and proofreading
- Ability to maintain confidentiality of information related to the company and its employees
- Proficiency in Google Drive, Google Docs, Google sheets, Excel, PowerPoint
- Experience using social media platforms such as Twitter, Instagram and Facebook
- Drivers license and reliable transportation
- Passion and dedication for Jolt’s mission
- Spanish language fluency
JOB CLASSIFICATION: Full time, exempt
LOCATION
This position is based in Austin, TX and reports to the Executive Director. Jolt is reviewing resumes on a rolling basis.
COMPENSATION
This position pays $50,000 - $55,000 per year. Salary commensurates with education and experience. Jolt’s benefit package includes full employer-covered health care, employer match retirement contribution up to 4%, employer-provided life insurance policy, monthly cell phone reimbursement, and 18 paid holidays, vacation, personal time off, sick leave, plus additional benefits. Standard business office hours apply to this position and will discuss with selected candidates during the interview.
