Brief Job Overview This is a hands-on non-supervisory position responsible for supporting the pipeline of editorial work, facilitating team meetings and documentation, and ensuring data-driven quality processes and reporting. The incumbent in this role will track and coordinate files for editorial review; communicate schedule and status updates for team; ensure clear, up-to-date documentation for current processes; and support quality data analysis related to documentary standards.

The Editorial Coordinator will report to the Manager, Editorial Development, and interface with Scientific Editors, Publishing Specialists, Scientists, Production Coordinators, Quality Assurance staff, and other internal USP business units and external vendors to ensure accurate and timely production of documentary standards. The Editorial Coordinator is also responsible for contributing to editorial quality tracking and reporting. How will YOU create impact here at USP?

Tracking/Schedules Triage and stage submissions to the Editorial review queue, track key milestones and project handoffs, and ensure timely communication with stakeholders. Maintain Editorial schedules and team tracking tools and regularly communicate reminders and publication status updates to the team. Coordinate and support cross-functional processes between Editorial and other groups/departments (e.g., graphics production).

Editorial Quality Data Validation & Analysis Performs data collection and validation on key Editorial quality metrics. Supports data reporting activities, including maintaining a centralized data repository, compiling periodic reports, and contributing to presentation materials as needed. Contributes to the development of data visualizations to communicate trends and key metrics to stakeholders.

Team Support & Documentation Support the coordination and facilitation of Editorial-led meetings, including style team meetings, process trainings, and quality presentations. Coordinate Editorial work instructions and checklist updates in collaboration with SMEs and maintain according to controlled form SOPs. Process system change requests with relevant technical counterparts.

Contribute to publication tasks (e.g., proofreading, templates) and provide backup coverage as needed. Who USP is Looking For? The successful candidate will have a demonstrated understanding of our mission, commitment to excellence through inclusive and equitable behaviors and practices, ability to quickly build credibility with stakeholders, along with the following competencies and experience: Bachelors degree in relevant field.

Four years of coordination experience in a publishing or research role considered in lieu of a degree. Minimum of 2 years coordinating or administrative experience. Additional Desired Preferences Previous scientific publishing, editorial, and/or research coordination experience strongly preferred.

Demonstrated experience in Microsoft Excel, SharePoint, Microsoft Teams, Planner, and PowerPoint strongly preferred. Experience and/or interest in process automation (e.g., Microsoft Power Automate) and data analysis tools (e.g., Tableau) strongly preferred. Proficient in virtual meeting coordination with excellent attention to detail and organizational skills Demonstrated skill in coordinating multiple projects with varying deadlines and a strong commitment to achieving quality results.

Self-starter and creative thinker who can use high-level directions to solve problems and perform assignments. Excellent written and verbal communication skills. Ability to collaborate with diverse colleagues and inclusive teams in a cooperative and friendly manner.
