 Job Summary:

 The Director of Outpatient Business Office will provide senior leadership and oversight of the developing, planning, organizing, and implementing current and future strategies for the Vocational Outpatient Clinic (VOC) Business Unit. Responsible for all financial aspects of the business including financial performance, reporting, and process improvements. This position will have responsibility for leading and supporting the Business Offices of , VOC, and working in partnership with other departments and members of leadership to ensure organizational goals are maintained. Play a hands-on leadership role in a dynamic entrepreneurial culture. Partner with the VOC President and CFO to support the Business Unit’s financial operations, bringing visibility to the financial performance and financial state of the business. Additionally, the position requires the ability to understand business trends, foresee financial opportunities and risks, generate actionable insights, possess high technical skills, and influence business results within everyday workflows.

Duties/Responsibilities:

·         Provide leadership, operational oversight, and strategic direction to the Business Unit’s Business Office processes.

·         Identify, develop, and drive process improvements, including the creation of standard and ad-hoc reports, tools, and Excel dashboards to identify opportunities or problems, process improvements, and other system changes.

·         Connect the data across all of revenue cycle to understand the story and drive results through the data.

·         Develops and executes the processes for Month End activities, including posting payments, reviewing banking information, reconciling banking data with Accounting, reconciling patient accounts, reconciling payments with 3rd party billing company and staff, reconciling payments by payment type (Checks, ACH/EFTs, Credit Cards, and Remote Deposits), reconciling payments by location, and report utilization to ensure all open items are completed prior to close.

·         Develops, validates, and presents the Month End financial reports to Accounting, Senior Leadership, and Board Members.

·         Responsible for the management and process execution of VOC’s management of credentialing, medical records, all of A/R related banking activities, patient accounts in terms of liens, refunds, accounts with the collection agency and bad debt, multiple referral sources, audits, and Front Desk operations.

·         Maintain technical expertise and serve as a subject matter advisor on reporting/analytics/ research products for the Business Unit. Manages financial data and patient record keeping for 5 EMRs.

·         Increase productivity by developing automated reporting/forecasting tools and streamlining activities.

·         Set an example in delivering excellence with reports, presentations, and other supporting materials to inform and make recommendations appropriately at all levels.

·         Lead a team of 30+ direct and indirect reports and actively manages VOC’s 3rd party billing company.

·         Manage all billing departmental activities and personnel; Coaching, training, planning, assigning, and directing work, appraising performance, addressing complaints, and resolving problems. Hiring, promotion, and termination of team members as necessary.

·         Handles escalated issues that include unhappy patients/callers and payor contacts.

·         Lead meetings with vendors and staff to address gaps in processes, issues impacting finances, and course correction.

·         Provides needed financial support for banks audits, payor audits, and government cost reports.

·         Serve as a technical leader and has overall responsibility for providing in-depth expertise with implementation of new related systems, system conversions, and system integration.

·         Facilitates the relationship of contract consultant and VOC’s leadership.

·         Any and all other duties and responsibilities as assigned.

 Education, Licenses, Certifications and Experience:

·         Bachelor’s degree in Accounting, Business or related field

·         5 years of experience in medical records

·         Keyboarding/dexterity: frequently; activity exists up to 75% of the time

·         Communication: ability to read, speak, and hear in English.

·         Strength: sedentary position (exerting up to 10lbs of force occasionally)
