Summary of position:
In conjunction with the Customized & Faculty-Led Programs team and IES Abroad Center staff, the Customized Program Coordinator position collaborates with various stakeholders on vital program administration including, but not limited to: student communication, pre- departure maintenance, and post-program administration.
Job Responsibilities:
- Communicate and collaborate with the Senior Customized Program Coordinator(s), Customized Program Managers, Customized Program Coordinators and IES Abroad Center staff to coordinate programs in a variety of stages.
- Manage multiple projects in fast-paced environment.
- Develop process expertise and general Center knowledge to communicate effectively with stakeholders.
- Provide friendly, accurate, and prompt pre-departure support and information to IES Abroad students, parents, and education institution staff through written and verbal (telephone) communications.
- Upload student rosters and process student registration.
- Track and process pre-departure tasks and update program-related details via CRM software.
- Act as liaison to Global Enrollment Management, Advising and Academic Affairs team on program specifics (visa requirements; pre-registration process; etc.).
- Communicate with students to ensure student registration and forms deadlines are met for each program.
- Process medical reports and note sensitive student information for Student Affairs follow up.
- Customize and edit program/destination-specific pre-departure guides.
- Willingness to work within a fun and creative team.
- Conduct several university visits throughout the year.
- Regular and predictable attendance is an essential function of this job.
- Other duties/projects as assigned and/or required.
Experience & Qualifications/Skills:
- The ideal candidate will have experience working within a study abroad environment and/or with faculty-led programs either at a university or third-party organization.
- The incumbent must have a strong project management background, including attention to detail, critical and problem-solving skills.
- 2+ years' experience in administrative role.
- Demonstrated ability to form and maintain positive relationships with internal colleagues and external clients.
- Empathetic communicator with exceptional customer service skills.
- Ability to be flexible and adaptable in a changing environment.
- Excellent attention to detail and data entry skills, with the capacity to maintain accurate records.
- Ability to exercise sound judgment when handling a variety of sensitive issues.
- Strong self-direction and initiative skills.
- Ability to meet commitments on a consistent and timely basis and take responsibility for actions and results.
Education:
Bachelor's degree required or equivalent work experience.
