POSITION SUMMARY
This position is responsible for receiving incoming phone calls and correspondence form patient and/or clients. This position also must provide all patient's and clients with excellent Customer Service. A Customer Service Rep is also responsible for documenting any complaints received and determining the best course of action per departmental protocol
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Answer incoming patient and client phone calls
- Answer patient and client questions regarding billing
- Arrange and maintain patient payment plans and/or time pay accounts
- Take and process payments made over the phone
- Respond to customer inquiries in timely manner by phone and email
- Research and respond to patient questions and concerns
- Receive and document all patient and client complaints; take concise notes and follow department protocol
- Refer appropriate complaints to Supervisor and/or Upper Management
- Audit patient accounts and provide a detailed billing breakdown as necessary
- Send follow-up letters and other correspondence to patient's regarding their balance
- Provide updates to the outside collection agencies upon request
- Prepare record requests for attorneys upon request
- Share ideas for process improvement
- Correspond with department on inquiries and deficiencies; work patient balance reports in the allotted time period per departmental protocol
- Perform other duties as assigned and/or assume additional responsibilities as required
QUALIFICATIONS (Knowledge, Skills, and Ability Requirements)
- High School diploma or equivalent
- Minimum of 2 years relevant experience in Customer Service; preferably in the medical field, preferred
- Excellent communication skills required both written and verbal, with the ability to communicate effectively with administrative staff, physicians, patients, families, employees, as well as external customers; Must maintain open communication with senior management and staff
- Must be detailed oriented, organized and possess exceptional skill in prioritizing tasks
- Must be able to work flexible hours when needed and occasional extended hours when necessary
- Effectively cope with change
- Orchestrate multiple activities at once to accomplish a goal; uses resources effectively and efficiently; detail oriented
- Able to maintain confidentiality within a HIPAA secure environment
- Widely trusted; keeps information confidential; maintain confidentiality within a HIPAA secure environment
ENVIRONMENTAL/WORKING CONDITIONS
- Normal office environment
- Sit for long periods of time; manual dexterity, use a calculator and to operate a computer keyboard; frequent mobility required to access files; bending, stooping, walking and lifting required
- Must be able to work flexible hours when necessary, with occasional extended hours when necessary
- Mandatory overtime at month-end
