Job description

Position Summary:
The Food Sourcing department is responsible for enacting various strategies across the food system to acquire both non-perishable and perishable food to meet our neighbor’s need. Our team develops ongoing relationships with various food vendors, food donors, & government entities to source food. The Coordinator will assist with the overseeing acquisition activities for government programs such as The Emergency Food Assistance Program (TEFAP). The Coordinator will collaborate with other Philabundance departments to monitor government food processes ensuring operations run smoothly from acceptance of product to distribution as well as maintaining reporting compliance. The position operates during normal business hours and will primarily consist of administrative office duties with occasional off-site field responsibilities.

Today, Philabundance is the Delaware Valley’s largest hunger relief organization, covering a service area of nine counties in PA and NJ, moving over 50 million pounds a year. In addition to food distribution, we strive to reduce food waste, increase access to nutritious meals, and tackle the root causes of hunger through programs such as the Philabundance Community Kitchen and working with community organizations that provide critical life skills and services to engage in holistic strategies that provide food in addition to: Education, Financial literacy, Health services, Housing and more; with the goal of shortening the line at food distribution sites.
Primary Job Functions:
  • Assist Food Industry & Government Manager with USDA programs including but not limited to TEFAP Bonus and Entitlement
  • Thoroughly understand the details of food producing government programs Philabundance participates in while stay abreast of new rules and regulations
  • Ensure government program guidelines and reporting requirements are shared across pertinent departments within Philabundance
  • Complete monthly reporting, documenting, and other compliance related tasks within due dates
  • Expand SOPs and documentation of government programs
  • Work cross-departmentally with Community Partnerships, Warehousing, and MIS
  • Oversee day-to-day and monthly task assignments from department email
  • Trouble-shoot to quickly resolve issues as they arise. This includes providing support between Warehousing and government entities
  • Perform other duties as requested
Knowledge, Skills, and Abilities
  • Minimum of 2 years related work experience; preferred professional experience in government programming, customer service, hospitality, community-based organizations, social service, or non-profit experience
  • Strong sense of efficiency, time management and organization
  • Proficient computer literacy with Office 365, willingness to learn and utilize new technologies
  • Capable in working with groups of people at varying levels and positions within an organization; demonstrated ability to work with people from diverse social and ethnic backgrounds
  • Ability to work on multiple projects with attention to detail, deal with interruptions, and maintain focus on tasks while producing accurate work
  • Ability to communicate effectively in a team environment consisting of other staff members and volunteers
  • Safe food handling certification; training provided to employees
Physical Demands:
  • Travel and fieldwork is required. Must be willing and able to travel within the service area (using public transportation, rideshare service, personal vehicle or other means).
  • Work in a seated position up to 8 hours a day, 5 days a week; may be required to work weekends and evenings with the flexibility to be on site for events with short lead times
  • See, hear and speak with sufficient capability to perform assigned tasks and maintain proper job safety conditions
  • Must be able to read words and numbers accurately
  • Lift/lower, push/pull and carry objects/parcels no greater than 50 pounds; when lifting/lowering, pushing/pulling and carrying objects/parcels greater than 50 pounds use 2 people or mechanical means
  • Demonstrate cognitive ability to:
    • Follow directions and routines
    • Concentrate, memorize, and recall
    • Identify logical connections and determine sequence of response
    • Evaluate problems; escalate and inform management as necessary
