We have a full-time position for a Contracts Specialist in Dallas Fort-Worth, Texas
Reporting to the Contracts Manager, the Contracts Specialist is responsible for completing detailed analysis, reporting and contract administration. The successful Contract Specialist will work closely with the Contracts Manager to review and provide recommendations on contract terms, communication with stakeholders, and support procurement functions.
The Contracts Specialist must be able to communicate effectively with all stakeholders and have keen attention to detail. This role works closely with all members of the major projects, operations, corporate accounting, and legal teams to efficiently move deals from the quote phase through completion and billing, while adhering to company policies and procedures.

Duties and responsibilities:
- Review and provide recommendations on lease and sale agreement terms and conditions, purchase orders, bid documents, and vendor applications after analysis of the company's policies and commercial risk items
- Prepare monthly reports for AIA payment requisitions and lien waivers
- Accurately complete tasks varying in nature and urgency, such as:
- AIA Contract, Subcontract Agreements, change orders, amendments, and applications for payment
- Preparation of lien waivers
- Bid / Proposal evaluation support
- Insurance certificates and bonds
- Responsible for tracking and supporting the annual contractor renewals and compliance filings, such as:
- UCC filings
- Business License filings
- Annual Report filings
- General Contractor prequalification and license renewals
- Follow Governance / approval requirements
- Claims and customer bankruptcy cases
- Provide feedback on current processes for the company and recommendations for improvement
- Comply with company risk management policies and procedures
- Provide required information to support the preparation of accurate and timely financials
- Maintain all key document control and electronic filing
- Participate in Project handover and Project kick-off meetings as appropriate
- Perform all duties in compliance with the Company's current and applicable processes, templates, checklists and tools
- Provide input into project Risk Register development as applicable
- Keeping appropriately current with applicable best practices and contract law
- Ensure adherence to appropriate Limits of Authority protocol
Qualifications
- Bachelor's degree preferred
- Strong construction knowledge, with 3 -5 years' experience
- Experience in contract administration for a construction and/or modular building and rental company is an asset
- Experience with American Institute of Architects (AIA) contract and subcontract agreements
- Experience with Federal Government contracts and Federal Acquisition Regulation (FAR) requirements is an asset
- Experience creating and managing reporting templates and contract KPI's
- Exceptional communication skills, both written and verbal
- Customer service focused approach to contract management
- Excellent interpersonal and negotiation skills
- Prior operational experience an asset
- Self-motivated with excellent organizational skills
- Strong computer skills (MS Word including "blackline" functionality, MS Excel)
- Ability to work accurately, effectively under pressure
- Adaptable to flexible work schedule when required to meet deadlines
- Ability to work with others as a team
- Ability to pass both pre-employment and random drug & alcohol tests on demand
- Ability to pass pre-employment criminal records check
