Job Description
Caliber is seeking a full-time Construction Project Administrator to join our team. This position will work mainly out of our Mesa construction office, but will periodically work from our Scottsdale corporate office and attend job site visits.
The Construction Project Administrator plays an important role in the department by providing support to the Construction team and keeping the department organized and streamlined. The perfect candidate for the role is a hybrid between an assistant project manager and an administrative assistant. We are seeking someone who can see a need and quickly work to fill the need without requiring a lot of independent direction. This person will use their existing construction and development knowledge with their ability to maintain organizational excellence to move our projects forward timely and efficiently.
Primary Responsibilities:
- Coordinates all construction activities with the VP of Construction and Construction Managers
- Serves as the owner for all reporting - maintain the BuilderTrend reports, receive contractor reports in ProCore or other programs, and update BuilderTrend weekly logs for management review and to satisfy insurance requirements
- Oversee construction progress and scheduling to include coordinating the 3-week look ahead of all projects for a master schedule within BuilderTrend.
- Serves as the owner for all document control - ensure proper documentation is collected/recorded for all projects. This includes contractor licensing and certificates of insurance, contracts, OAC meeting minutes, pay applications, lien releases, close out documents, owner manuals and warranties.
- Assist Accounting with project cash flows to ensure costs are properly coded to entity/project, pay applications are appropriately approved, payments are accounted for, and project closing audits are timely scheduled/finalized.
- Establish relationships with multiple vendor/trade partners who we can turn to in a timely manner when needed.
- Understand the contract between Caliber Development and the owner
- Schedules and procures tools and equipment necessary for the project
- Assists with city submittals and running errands in relation to the projects
- Assist with our staffing plan to make sure we always have a responsible party available for every project.
- Manage meeting schedule coordination, to make sure we have a responsible party available for all meetings, coordinate meetings as required to prevent/reduce overlap conflicts.
- Assist with budgetary estimates for acquisition and development.
- Expense reporting and credit card allocations
Qualifications:
- Ideal candidate would understand the construction and development process
- 2 years of construction industry experience is a plus
- Experience with BuilderTrend and ProCore is a plus
Knowledge/Skills/Abilities:
- Well versed in Microsoft Suite, including Outlook, Teams and Project
- Good verbal and written communication skills
- Experience with AIA contracts and lien waivers
- Confidently able to give directions to ensure project objectives and schedules are met, which may require firmness in communication within the team and trade partners
- Experienced in calendar management and scheduling
- Experience with agenda preparation and taking meeting minutes/notes
- Detail oriented with strong organizational skills - Ability to multi-task like a pro!
- Ability to act and receive direction from multiple sources
- Self-Starter that is able to work both independently and as part of a team
Physical Demands:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. The employee frequently communicates with internal team members and vendors. Must be able to remain in a stationary position 50% of the time. Constantly operates a computer and other office productivity machinery such as a copy machine and printer. Occasionally moves items up to 50 lbs. for various projects. This position will periodically require jobsite visits which will require safety glasses, hard hats and closed toed shoes.
