To be fully engaged in providing Quality/No Harm, Customer Service and Stewardship by: Coordinating, promoting and evaluating to assure optimal site operation in collaboration with the entire Health First Team; assisting the Manager by coordinating workflow within HFSS, PDN & Home Companion's businesses, managing multiple priorities and tasks, and communicating with referral sources and associates. Oversee scheduling functions for the branch as relates to staffing. Assist in assuring an adequate number of employees with the skill required for the current referral sources are available. Business development for new referral sources, while nurturing existing relationships.
Quality/No Harm:
- Regularly assesses the required level of staffing to provide quality patient care.
- Plans schedules, coordinates staff for the holidays and vacations, and communicates with referral sources and patients in meeting staffing needs.
- Demonstrates expertise necessary to evaluate quality of care and initiate appropriate actions with complaints.
- Guides staff members regarding patient care, work performance, problem solving and decision-making ability regarding staffing.
- Updates on-call books to ensure that employee and vendor information is up-to-date.
- Placed on regularly scheduled on-call coverage to facilitate solving of patient or staffing issues and scheduling staff coverage after hours, holidays and weekends.
- Rotate after hours on-call as needed.
- Maintain computerized schedules of employees, based upon their availability for work, skill level, preferences and availability for assignments.
- Assists in the securing of renewable documents and other human resource file components based on the monthly deficiency report.
- May do coordination of initial applicant paperwork of applicants as needed and assist in orientation process as requested.
- Contributes to departmental operations by performing other clerical duties as may be required including, (but not limited to): distributing mail, copying, faxing, running errands, medical records, billing and reception, hiring, intake, and payroll required including, (but not limited to): distributing mail, copying, faxing, running errands, medical records, billing and reception, hiring, intake, and payroll.
- Acts as office liaison with management of Health First Hospital and outside referral sources for the performance of the private duty business.
- This performance includes scheduling shifts, monitoring growth trends, financial performance, and personnel maintenance and recruiting indicators.
- Take incoming referrals and utilize guidelines to quote rates with internal and external referral sources.
- Contributes to effective guest relations by assisting referral sources and associates and other customers, (internal and external), to resolve expressed concerns and by demonstrating a welcoming and helpful attitude.
- Demonstrates awareness and facilitates the containment of staffing costs; explains budgeted variances. Fiscal accountability and understanding to lead a cost efficient business with Director's leadership.
- Ensures timely entry of all information into appropriate systems for proper and timely billing.
- Assists with new business development and maintaining positive relationships with existing referral sources and accounts which includes working internal and external Health Fairs.

- Associate degree preferred.
- Minimum of 3 -5 years of healthcare billing and payroll experience preferred.
- Familiarity with Windows, Excel, Word and other computer software preferred.
- Must be able to use automated scheduling system.
- Must possess excellent public relations skills, with ability to deal with multiple tasks and people, while maintaining a positive and enthusiastic attitude.
- Professional appearance and dress necessary
- Ability to work under short deadlines, think quickly, and juggle multiple tasks.
- Successful completion of Level II background screening (fingerprinting) after August 1, 2010.
