Classification Summary
Incumbents perform basic clerical functionssuch as providing customer service by answering defined questions and providing information, and preparing standard correspondence and reports. Responsibilities may include accepting and processing payments;providing departmental or organizational information; processing forms; registering students; and performing the duties of lower level position(s).
Minimum Education and/or Training and Experience
High School Diploma or equivalent (G.E.D.) and 6 months clerical or office experience.

Essential Job Function
These are the job duties that are required of the position.
Classification Duties
  1. Perform a variety of general secretarial, data entry, and clerical support, some of which may be of a confidential nature. (A1)
  2. Track various department documents and records, prepare routine reports and distribute to appropriate parties. (B2)
  3. Enter information to campus and/or department-specific software. (B2)
  4. Receive incoming phone calls; welcome visitors, guests, and vendors; direct callers and visitors to appropriate personnel. (A1)
  5. Maintain and organize files. (A1)
  6. Scan large volumes of department documents and electronically label and file as appropriate. (B2)
  7. Perform other related duties of a comparable level/type, as assigned.

Position Duties
1. Direct prospective students through the Workforce application process and provide accurate and timely information to students regarding Jefferson College Workforce and Employment Services programs and services.
2. Help connect students to appropriate campus resources.
3. Create a positive welcoming environment by providing quality, comprehensive customer service in the Workforce office and all communications.
4. Serve as the main point of contact for all stakeholders (students, faculty/staff, employers) by answering phone calls and managing the department email account.
5. Maintain working knowledge of Workforce and Employment services programs and services.
Process all information requests and applications, tracking, inputting, and organizing records.
6. Collect employment and education information from graduates.
7. Maintain the job board, approving employers and job postings.
8. Ensure all communication is conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).
