POSITION: ASSISTANT TO THE COURT ADMINISTRATOR

DEPARTMENT: Court Administration

LOCATION: Greene County Courthouse

SALARY: $18.50 per hour, Non-Union, At-Will

Management Pay Grade 5 (Non-Exempt)

HOURS: 8:30 AM - 4:30 PM, Monday-Friday (35 hrs per week)

BENEFITS: County Employee Benefits (after 90-day Probationary Period)

OVERALL JOB OBJECTIVE:

This is an entry level professional, full-time position to ensure the impartial and expedient disposition of all cases in the Trial Court. Applicant in this classification will assist the Court Administrator and Deputy Court Administrator in the performance of all non-judicial tasks of the court, assist in maintaining all statistical reports, serve as liaison with the general public and members of the Bar, assist in the coordination with the clerks of the courts of the district related to the judicial duties of the clerks, provide general administrative support for Court Administration and all Judges of the District, and perform other duties assigned by the District Court Administrator and President Judge.

ESSENTIAL FUNCTIONS OF THE JOB:

  1. Answer telephone and direct calls to the appropriate office.
  2. Prepare Orders and Opinions as directed.
  3. Direct members of the public and attorneys to the appropriate Courtrooms, hearing rooms, etc.
  4. Maintain and keep judges' trial docket.
  5. Maintain statistics and generate reports for use by the Court.
  6. Participate in statewide committees; attend seminars/webinars related to Court Administration as required.
  7. Serve as liaison to the Court, bar, clerks of the courts of the district, law enforcement agencies, and general public.
  8. Assist in accumulating data for preparation of the budget.
  9. Maintain cooperative working relationships with county officials.
  10. Assist in determining that facilities are adequate and receive proper maintenance.
  11. Perform related duties as assigned or required.
  12. Maintain appropriate dress, office and Courtroom decorum, and confidentiality.
  13. Work collaboratively with the Judges, Law Clerks, Court Reporters/Recorders, Tipstaves, and other personnel.
  14. Manage paper and digital records of the office.
  15. Assist in the Courtroom, as directed.
  16. Any other duties as directed by the District Court Administrator and/or President Judge.

OTHER DUTIES:

As directed: Attend meetings, assist others, and perform related work.

SUPERVISION RECEIVED:

Direct supervision of the District Court Administrator and Deputy Court Administrator.

SUPERVISION AUTHORIZATION:

None

WORKING CONDITIONS:

  1. ADA Courthouse facilities with adequate space, temperatures, ventilation, and lighting.
  2. Daily exposure to stressful circumstances, fast pace, disruptions, and interruptions.
  3. Daily exposure to low stress, quiet, slow, and confidential proceedings.
  4. Daily contact with members of the public, attorneys, court participants, police, jurors, and witnesses.

PHYSICAL AND MENTAL REQUIREMENTS;

  1. Must be able to convey information, explain procedures and follow instructions.
  2. Must be able to sit for extended periods throughout the workday, with intermittent periods of standing, walking, bending, twisting, and reaching as necessary to perform job duties.
  3. Medium work with occasional lifting/carrying of objects.
  4. Sedentary work, with occasional coordination and movements of fingers/hands to simple movements of feet/legs, torso necessary to perform job duties.
  5. Must be in good general health and demonstrate emotional stability.
  6. Must be able to cope with the physical and mental stress of the position.
  7. Must be meticulous, complete tasks without supervision, and be self-motivated.
  8. Must comply with the Unified Judicial System Code of Conduct.

QUALIFICATIONS AND WORK EXPERIENCE:

Minimum: High school diploma or equivalent (GED).

Recommended: Bachelor's Degree from an accredited four-year college or university; or a Paralegal certificate/degree from a two-year course of study or an Associate degree from an accredited two-year college or related field, and two (2) years of experience directly related to the duties listed above; or graduation from a standard four-year high school or equivalent (GED) and four (4) years of experience directly related to the duties listed above.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  1. Must be able to speak and understand the English language in an understandable manner in order to conduct essential functions of the job.
  2. Must possess effective communication and people skills.
  3. Must possess ability to function independently, have flexibility and the ability to collaborate effectively with co-workers and the general public.

  1. Must possess technical knowledge of operating computers and other office equipment with accuracy and speed.
  2. Must possess knowledge of modern office practices and procedures and the ability to perform the same in an efficient manner. ex: Internet, Microsoft Office and Google Documents and Calendars.
  3. Must possess mental alertness, clerical and math aptitude, and a general knowledge of business, English and grammar and the ability to perform these skills with accuracy and with reasonable speed.
  4. Must possess the ability to work independently on complex clerical tasks.
  5. Must possess ability to compose replies to routine correspondence.
  6. Must possess basic math skills and ability to accurately prepare required reports, record keeping & statistics.
  7. Must possess ability to meet and interact effectively with co-workers, attorneys, jurors, and members of the public and to respond accurately to routine questions/inquiries regarding Court operations and procedures.
  8. Advance skills in computer aided document preparation, typing (60 wpm preferred), spelling, grammar, forms, copying and filing.
