ON-SITE ASSISTANT PROPERTY MANAGER -[CAM PREFERRED]
RESPONSIBILITIES/TASKS INVOLVED:
· Assist homeowners with needs, account issues, and maintenance requests.
· Assist property manager with all duties related to the property.
· Assist Board Members with any requirements related to the property.
Also included, but not limited to:
· Liaison between AKAM ON-SITE corporate office and Condominium Associaton for all building staff, owner, and accounting/clerical-related needs.
· Work with the AKAM accounting team for AR/AP and other accounting matters.
· Responsible for handling owner service requests and solving problems.
· Actively promote positive resident relations while enforcing Association Rules and Regulations.
· Respect the boundaries of confidentiality, laws, and safety.
· Responsible for ensuring account ledgers and owner profiles are correct and up to date.
· Work with the AKAM accounting department via service desk tickets to maintain accurate files with the Yardi /Avid Exchange software program.
· Process all Accounts Receivables
· Collections and Delinquency management, including legal prep work.
· Process all Accounts Payables
· Oversee, maintain lease agreements, invoice, and process payments for Association’s Across the street parking lot, Marina, Bicycle Storage cages, and garage scooter/motorcycle parking areas; Monthly Invoicing.
· Responsible for the scheduling of building staff and security company shifts.
· Assist in facilitating all aspects of the condo purchasing, leasing, and renovation process.
· Digitized and scanned all receivables and payables over the past four years and ongoing organizational soft file/data management on the Association server.
· File/folder archiving and maintenance of all Association documents in the storage closet for record keeping.
· Process check/credit card payments received in the office via the online system. Operation of check scanners, interface, transaction activity, and daily closing.
· Create and maintain multiple worksheet files and operational data.
· Manage data input to the Special Assessment worksheet, keeping track of fund activity.
· Prepare various notifications for the residents.
· Prepare violation notices, track progress/deadlines and follow grievance procedures until closed.
· Upload data files and documents on the resident portal.
· Attend Board meetings and prepare minutes; Prepare board meeting packets; Assist Property Manager with all Board Meetings.
· Research contracts and expenses; File disputes with vendors; negotiate payables and purchase deals.
· Coordinate maintenance tasks with the Engineering office.
· Coordinate tasks with Pool/Gym attendants; manage gym inventory and order replacement items.
· Create and Manage employee/ security company schedules.
· Field applicants and conduct interviews to fill open positions within Association.
· Ensure employee uniforms are up to Associaton standards. If not, place orders for replacement.
· Organize Community Events.
· Work on improvement projects with the in-house team.
· Maintain Association’s Minute books, Master Insurance Files, Vendor Insurances, bank statements, etc.
· Manage and observe all vendors and service contractors while on the property.
· Supervise maintenance and janitorial staff.
· Tour property for problems and possible violations.
· Prepare Board and Association mailings.
· Maintain and re-order all office, janitorial and operational supplies.
QUALIFICATION REQUIREMENTS:
- Bi-Lingual in Spanish is required
- Strong Finacial expierence
- Intermediate to advanced use of Microsoft Excel, MS word, PowerPoint, Adobe Acrobat Pro and Quickbooks.
