Assistant Property Manager Job Summary
We are seeking a motivated, self-starting individual to join our property management company as an Assistant Property Manager. Our ideal candidate has +3 years of property management experience, a strong work ethic, and is bilingual (English/Spanish).
Essential Duties and Responsibilities:
Cultivate tenant satisfaction through effective communication and conflict resolution, addressing
tenant concerns promptly, and fostering positive relationships.
Coordinate background checks, credit checks, and employment verification.
Assist applicants in completing rental applications.
Perform file audit and make corrections to lease files as needed.
Facilitate the signing of lease agreements and enforce lease terms.
Monitor lease renewal and move-in process.
Collect rent, security deposits, and any other charges associated with resident moves.
Prepare and coordinate the posting of notices to tenants for non-compliance, announcements,
inspections, and other tenancy-related matters.
Keep close communication with the legal department.
Handle delinquent accounts and coordinate eviction procedures with attorneys.
Enforce late payment policies, maintenance fees, and negligence charges.
Analyze market trends to determine competitive rental prices.
Ensure property operations comply with legal requirements.
Maintain organized and updated property records, all uploaded to the system with notes.
Ensure adequate insurance coverage for all properties. Keep updated files.
Negotiations payment plans.
Attend court hearings on behalf of clients to close violations and negotiate liens.
Make follow-up calls, emails, and other correspondence to ensure the closing of City violations.
In charge of filing insurance claims for negligence damages made by renters.
Identify opportunities to enhance tenant quality of life.
Implement initiatives to improve property operations.
Collaborate with the Accounting and Finance Manager (AFM) in preparing fiscal year operating capital
budget.
Collaborate with AFM by updating and delivering comprehensive financial statements, profit
loss reports and variance to the company executives and clients, including sending feedback on
various analyses.
Complete the vacancy turnover process of move-outs, security deposit claims, and
reimbursement requests.
Review and discuss real estate tax assessment with AFM. Coordinate appeals when necessary.
Manage portfolio utility expenses.
Coordinate collection efforts of accounts receivable, with three-day notices and correspondence
with delinquent tenants.
Review annual expense reconciliations and handle correspondence with tenants.
Communicate and collaborate with various departments to ensure client interest is followed with
cost cost-saving and effective mindset.
Assistant Property Manager Requirements and Qualifications
· Bachelor's degree in business administration or +3 years experience in property management.
· Strong work ethic and a self-starting personality
· Bilingual skills (English/Spanish)
· Computer literacy
· Buildium Software knowledge is a plus, but not required.
· Availability to work full-time, Monday-Friday 8:30 am-5:00 pm.
