About the Job

Summary:
The primary purpose of the work performed is assisting with the coordination of Athletics donor cultivation and fundraising events, as well as the Gopher Sports Spaces premium space event rental program. Additionally, the position oversees the planning and execution of Gopher Loyalty events, as well as other department events, including student-athlete, staff and alumni events.

Essential Functions
55% Gopher Sports Spaces

  • Assist in recruiting, hiring, training, scheduling, overseeing and evaluating staff
  • Communicate with clients to gather logistical details for all non-game day events including time line, parking, tours, layouts, catering, AV, power needs, signage, security, internet and deliveries
  • individually coordinate over 100 events annually
  • Manage the communication of all event logistics to appropriate departments
  • Create and oversee facility use / rental agreements, insurance, alcohol use form, and incident reporting
  • Issue invoices, track payments and prepare reports
  • Work with OGC, Real Estate Office and Code to gather approvals as needed
  • Facilitate weekly special events meeting
  • Maintain facility usage guidelines
  • Maintain event calendar
  • Prepare, forecast and monitor budget
  • Assist with sales and marketing of Gopher Sports Spaces

40% Lead and Assist with the coordination of Gopher Loyalty and other internal events
  • Work with Annual Fund and athletics units to schedule and coordinate all Gopher Loyalty events.
  • Work with various units in Intercollegiate Athletics, including teams, M Club, Student-Athlete Development, and Administration to provide special event support for events such as annual banquets, alumni engagement, student-athlete networking and career development, retreats, staff recognition, and Women's Athletics celebrations
  • Support includes but is not limited to securing event space, coordinating A/V support, communicating event details to Facilities, catering services, RSVP coordination, programming and run-of-show

5% Football Game Day
  • Coordinate all pre-game rental events in 3MAM and Williams arena.
  • Assist in GGF Suite and Gopher Loyalty programming as needed throughout the game.

Hourly rate for this position is $21.63 - $23.08.

Qualifications

Required Qualifications:
Bachelor's degree plus at least two years of experience or a combination of related education and work experience to equal at least six years.
