Position Details

The Office of Residence Life has a new position available for an Assistant Director of Selection and Residential Operations who will serve as a member of the leadership team including managing the recruitment and selection of student workers, information desk management and other assigned work related to residential operations. This person will report to the Associate Director of Residential Facilities Operations. This position seeks a detail, service, and process-oriented individual to manage a variety of special projects for the Office of Residence Life. This position will oversee the management of a campus-wide, 24- hour information and service desk, including supervising desk workers. Additionally, this position will collaborate with all members of the residence life team and as needed with colleagues across campus. This is a 12-month, live-off position.

This position is designated as an essential employee and may be required to report to work as scheduled when University offices are closed due to severe weather or other conditions.

Responsibilities

1. Student Worker Recruitment and Selection
• In collaboration with human resources, serve as primary recruiter and coordinator in the marketing and hiring process for student positions. Respond to inquiries about available positions and make hiring recommendations.
• Update and maintain worker roster and files on behalf of the department.
• Serve as chair of the recruitment and selection committee, leading weekly meetings related to recruitment and selection.

2. Information Desk Oversight and Management
• Hire, train and supervise Vaughn Information Desk student staff.
• Ensure 24-7 student worker coverage of information desk.
• Administer residential loan key operations at the Vaughn Information Desk.
• Assist Associate Director of Residential Facilities Operations with loan key tracking, auditing, organization, ordering, and reporting.
• Upgrade and maintain the KeyTrak software and system.
• Maintain excellent customer service for students, staff, and visitors of the Vaughn Information Desk.

3. Residential Operations
• Assist Associate Director with implementation and improvement of all policies and procedures related to residential facilities operations.
• Assist Associate Director with move-in and move-out procedures including appointment scheduling, student and family communications, website updates and coordination with campus partners.
• Collaborate with staff assistant to coordinate early arrival and late stay processes.
• Maintain operations data in Residence by Symplicity, Microsoft Office, and OneDrive.
• Assist in the management of facilities-related emergencies that impact occupancy and assist with student relocation and communication during the business day.

4. Special Projects and additional duties as assigned
• Participate in the on-call rotation on a consultative basis.
• Assist with crisis and emergency response as an additional member of the residence life team, including meeting with students and parents as needed and coordinate responses.
• Attend trainings and utilize departmental and university-wide technology, specifically Residence by Symplicity, KeyTrak and Workday, and other department specific technology platforms.
• Contribute as part of the residence life leadership team to the departmental strategic planning and assessment efforts.
• Assess and propose continuous improvements to all special projects to increase student and staff satisfaction and learning.
• Serve on departmental, divisional, and institutional committees including residence life/facilities planning meetings.
• Perform other special projects and duties as assigned by the Office of Residence Life.

• Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.

Qualifications

1. Bachelor's Degree Required, Master's degree preferred in higher education, student affairs, or related field.
2. Two years of professional experience in higher education or related field preferred.
3. SHRM or related Human Resources certification preferred.
4. Ability to serve as a contributing team member with demonstrated flexibility and focus on positive outcomes.
5. Strong ability to manage multiple tasks simultaneously with a commitment to high quality results.
6. Excellent follow-through with responsibilities and timely communication.
7. Strong organizational skills, including effective time management and prioritization capabilities.
8. Strong written and verbal communication skills.
9. Experience in delivery of student services while learning and working in an inclusive, diverse community.
10. Preferred experience with professional and paraprofessional staff recruitment, selection, and training.

11. Preferred experience with housing software, preferably Residence by Symplicity.

12. Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office.
13. Willingness to embrace new technologies and innovative organizational practices.

Monday-Friday, 8:30 a.m. to 5:00 p.m.

Summer: Monday-Thursday, 8:00 a.m. to 5:30 p.m.

Occasional evenings and weekends may be required.
