Intensive Family Programs is seeking an Assistant Administrative Coordinator for The Help Group. Funded by the Los Angeles County Department of Children & Family Services (DCFS), this program is designed to invigorate and restore the development of healthy behaviors for each family.
Qualifications:
- BA or BS degree preferred in social work or related field or two years’ experience in a mental health or related setting, preferably nonprofit.
- Minimum HS Diploma with 5 years of experience as business/office administrative staff preferably in nonprofit or medical field.
- Must possess a high degree of organizational skill, attention to detail, and the ability to effectively communicate with agency clients and staff.
- Must be self-motivated, able to work independently as well as a team member and meet deadlines.
- Proficiency in Microsoft Excel needed. Experience in social services and in working with computerized data based systems preferred.
- Bilingual preferred.
- Flexible schedule with at least one evening required to accommodate conducting surveys.
- Travel between sites is required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assists the Admin Coordinator with completion and maintenance of Family Based Programs (FBP) which are inclusive of intensive programs (Wrap, FSP, PIER) outcome measures and evaluation reports in a timely fashion including OMAs and others as assigned.
Maintain database for FBP programs across all 3 SPAs by entering data into a computerized system accurately and promptly and uploading necessary data daily, weekly or monthly based on the programs contractual obligations.
Collaborate with and respond to QA’s staff requests for sharing programs’ information.
Communicate with staff to ensure data collection documents are completed in a timely manner for input.
Responsible for monitoring flex fund expenditures and maintaining appropriate documentation.
Manage flex fund and petty cash spending reports and supporting documentation for all Intensive Family Programs in all SPAs; assist Admin Coordinator in liaising with Accounting Department for all FBP.
Assist FBP Managers and Supervisors in securing and procuring, when needed, tools and supplies for staffing needs, maintain records of same; assist staff directly, when necessary, in securing needed aids and supplies
Contact clients via telephone to conduct follow-up surveys and coordinate with the staff ensuring documentation and completion of surveys within the required timeframes.
Attend all staff required staff meetings, participate in required and assigned trainings Comply with ethical standards and laws of confidentiality and conduct all functions in accordance with agency guidelines, policies, and procedures

Salary Range : $20.00 - $24.00 per hour
