Job Description
Under the supervision of the Director of Advancement Operations & Analytics, it is the responsibility of the Advancement Operations Officer to manage all aspects of gift and data entry in the development information system, including alumni/donor information, gift processing and deposits, financial reports, and reconciliations with the Finance Office.
Salary Range: $48,000 - $52,000
Duties & Responsibilities
Essential Functions and Requirements:
  1. Organize and execute all gift and pledge accounting and data entry into the Raiser's Edge database and any other assigned auxiliary systems including Almabase and PostOmatic.
  2. Maintain accurate and current records, both hard copy and digital for the Advancement department. This includes, but is not limited to, records for alumni and donors of the University, pledge and planned gift commitments, scholarship agreements and fund, appeal and campaign records on the Raiser's Edge NXT database.
  3. Serve as the Advancement Division's primary liaison to the Finance Office for the purpose of gift deposits, reports and the reconciliation of accounts.
  4. In collaboration with the Alumni Engagement team, assist with the back-end of the Events module in Raiser's Edge and the event module within the Almabase platform.
  5. Assist in generating timely and comprehensive financial reports.
  6. Work collaboratively wit Donor Engagement to ensure pledges are fulfilled on a timely basis and, when necessary, are written off in accordance with accounting standards and audit requirements.
  7. Responsible for becoming cross-trained in other functions of the Advancement Operations unit, including the prospect management process and knowledge of the Prospect tab in Raiser's Edge and the ability to perform basic prospect research and query/list generation.
  8. Perform other related duties as assigned by the Director of Advancement Operations & Analytics, the Associate Director of Advancement Operations and Vice President for Advancement and External Affairs.

Supervisory Responsibility:
The Advancement Operations Officer will provide assignments and guidance to the work-study students and graduate assistants.
Outcomes/Performance Metrics:
  1. Ability to perform all gift entry independently with limited oversight after appropriate training
  2. Confirm accuracy of gift entry by limiting the number of journal entries required to fix errors in gift entry
  3. Ability to actively participate in monthly meetings with the finance department to discuss and address any issues or concerns with reconciliation or fund creation, as well as interactions between meetings
  4. Show desire to take on new tasks and learn new skills to improve team efficiency

Qualification Standards
Minimum Qualifications:
  1. Bachelor's degree or equivalent experience
  2. A minimum of one (1) to three (3) years of professional work experience in fundraising, data management or a directly related field to demonstrate sufficient knowledge, skill, and ability to perform the essential functions of the position.
  3. Ability to learn basic fundraising principles and strategy including the moves management system
  4. Sufficient digital literacy to use University systems and platforms, which include MS Office Suite, Google Suite (Mail, Docs, Sheets, Slides), Zoom, and other systems and digital tools.

Additional Desirable Qualities:
  1. Knowledge of Raiser's Edge NXT database and web view
  2. Knowledge of Almabase online community platform or ability to learn how to use this platform
  3. Knowledge of PostOmatic or ability to learn how to utilize this functionality
  4. Demonstrated ability to understand and use relational databases. Ability to manage access/use, maintain an ongoing reliability and quality of data records.

Working Conditions
Work Schedule:
Full-time; 52 weeks per year. In addition to regular business hours, the person in this position must be able to be flexible around the needs of the University, which includes occasional evening and/or weekend hours.
Physical requirements
  1. Must be able to remain in a stationary position for extended periods of time.
  2. Must be able to physically attend in-person meetings and events both on- and off-campus.
  3. Frequently operates a computer for extended periods of time.
  4. Frequently communicates with others over the phone and in person; must be able to exchange accurate information in these situations.
  5. Ability to speak clearly and communicate proficiently in English.
