Our growing HVAC company is seeking a highly organized and detail-oriented Administrative Assistant to be the first point of contact for our customers and support our office operations. The ideal candidate will have excellent communication skills, strong attention to detail, and a genuine interest in learning about the HVAC industry.
Responsibilities:
- Answer phones and customer inquiries professionally, ensuring a positive customer experience
- Perform accurate data entry tasks, including updating customer information and job details
- Handle incoming calls and emails, providing exceptional customer service and routing inquiries appropriately
- Maintain confidential records and files, ensuring they are well-organized and easily accessible
- Assist with order entry and processing, collaborating with sales and technical teams
- Perform general office management tasks and maintain office supplies
- Demonstrate patience, professionalism, and understanding when dealing with customer concerns
- Continuously expand your knowledge of the HVAC industry to better assist customers and support the team
Skills and Qualities:
- Proficient in data entry with a high level of accuracy and attention to detail
- Experience in an administrative or customer service role, preferably in the HVAC or a related industry
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities
- Excellent written and verbal communication skills, with the ability to explain complex information clearly
- Proficient in Google Calendar, GSuite, and experience with HouseCallPro or Service Titan is a plus
- Customer service-oriented with a friendly, professional, and empathetic demeanor
- Ability to handle confidential information with the utmost discretion and integrity
- Resilient and able to maintain a calm and professional attitude, even in high-pressure situations

This job is in-person with opportunities for remote or hybrid work. Must be located in Denver Metro and willing to commute.
