PART-TIME ADMINISTRATIVE COORDINATOR
JOB SUMMARY
Provide administrative and business detail support for the branch officeby performing a variety of administrative tasks.
ESSENTIAL DUTIES
- Answer and transfer phone calls, screening and taking messages when necessary.
- Dispatch/coordinate service calls to correct technicians prioritizing them based on urgency and importance.
- Create service tickets in system by logging all significant information regarding the customer request for service such as building location, elevator malfunction/issue, elevator unit, floor unit is stuck on, all customer information including name and contact phone number.
- Verbally attempt to release entrapped passengers.
- Assist mechanics with issues encountered with service tickets and ensure they are properly resolved for time entry and payroll.
- Maintain filing systems as assigned.
- Conduct research; compile and generate reports.
- Open and route incoming mail and packages. Prepare outgoing mail and packages.
- Receive payroll checks and sends report to corporate finance department for record retention and live check activation.
- Track union employee's PTO and vacation days.
- Process incoming accounts receivable checks and customer credit card payment vouchers.
- Serve as backup for other administrative duties within service, repair and modernization, as needed.
- Track office supplies and note when items are needed.

JOB QUALIFICATIONS AND REQUIREMENTS
- Education: High School Diploma or equivalent
- Experience: 0-2 years in business administration, preferably in manufacturing
- Working knowledge of Microsoft 365 Office skills: intermediate in Excel; proficient in Word, Outlook, and PowerPoint.
- Ability to meet deadlines under pressure and maintain confidentiality.
- Ability to utilize word processing, desktop publishing, spreadsheet, and database software effectively.
- Ability to handle multiple tasks and duties simultaneously.
- Strong interpersonal and communication skills and the ability to work effectively in a diverse community.

WORK ENVIRONMENT AND EXPECTATIONS
- Job duties are performed mainly within an established office environment under normal lighting and climate-controlled tolerances. The noise level in the work environment is usually low to moderate.

PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
