Job description

Summary

The Administrative Coordinator provides general administrative support to the Chair and faculty in the Department of Biochemistry and Molecular Genetics. The position reports to the Chair of Biochemistry and Molecular Genetics.

Essential Duties and Responsibilities

  • Professionally meet and greet students and visitors to the department, answer phone, and screen and direct calls.
  • Maintain learning software (i.e., Canvas) course for each class in Biochemistry and Molecular Genetics, to include posting of lecture notes, PowerPoints, Quizzes, and other course information.
  • Use Testing Center software and/or Canvas to schedule, prepare, grade and organize exams, quizzes and workshops for students.
  • Interact with other University entities (i.e. to submit grades, schedule classrooms and AV requests, and print class notebooks).
  • Secure and ensure privacy of sensitive, privileged and confidential information (i.e. student grades, correspondence, memorandums and other documents).
  • Attend departmental meetings and generate meeting minutes.
  • Order office supplies and maintain department expenses, including submitting purchases orders, expense reports, and check requests.
  • Provide administrative support to the Chair and faculty members of the Biochemistry and Molecular Genetics department as necessary, such as managing faculty calendars, scheduling appointments, expenses reimbursements.
  • Compile the information required for all department reports and file and organize all departmental materials.
  • Complete complex academic tasks and projects independently, make recommendations to improve efficiency.
  • Maintain professional growth and development through training and educational programs to keep up with new University procedures and IT software, and the changing needs of the department.
  • Additional projects as assigned by the Chair.

Qualifications

Education and/or Experience

High school diploma or GED and 5-7 years of administrative support experience required. Associate degree or equivalent from 2-year college or technical school preferred. Experience working in a team and customer service-oriented environment. The ideal candidate would possess excellent organizational skills, and excellent written and verbal communication skills. Knowledge or training in medical terminology is also desired.

Computer Skills

Windows environment. Computer proficiency in MS Office (Outlook, Word, Excel), Adobe or Nitro PDF reader/writer software. Experience with video conference platforms such as Teams, WebEx and/or Zoom. Previous experience with Canvas preferred. Must have the ability to learn new software and technologies.

Language Skills

Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability

Intermediate skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Mathematical Ability

Basic skills: Ability to add, subtract, multiply, and divide all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret bar graphs.
