The Administrative Assistant/Maintenance Coordinator is responsible for managing the businesss day to day administrative tasks, focusing especially in maintenance coordination. Strong candidates will come equipped with a full range of knowledge, including general office administration tasks, and knowledge of typical maintenance and repair issues and solutions in residential housing. The Maintenance Coordinator must be well versed in vendor and client relations and adhere to strict time schedules and processes. This position will be responsible for timely and complete work to the standards of the Real Property Management brand, and requires outstanding attention to detail, a sense of urgency, and a professional demeanor.
DUTIES
- Answer and distribute incoming calls and emails
- Provide basic property management services, addressing general tenant inquiries via phone and email
- Create, schedule, and coordinate maintenance requests: view all incoming work orders, call tenants as necessary, and schedule work to be done)
- Work order billing
- Validation of in house and subcontracted work performed adequately and to specification
- Perform property inspections
- Vendor and in-house maintenance technician coordination, including meeting on-site and checking work
- Office/Maintenance Inventory oversight and ordering
- Update software with property mainteance information
- Coordinate unit turnover maintenance
- Filing
- Act the face of the office to greet tenants and vendors
- Highly organized, detail oriented, and thorough

- 1-2 Years background/experience in general maintenance and repair
- Maintenance and repair estimation capabilities
- 1-2 Years background in office administration
- Ability to prepare, write and communicate effectively with clients, vendors, and staff
- Ability to work in a fast-paced environment
- Works well independently
- A minimum typing speed of 40 words per minute
- Microsoft Office
- Service oriented
- Knowledge of the Internet and email
