Description
Provide clerical and administrative support to the Student Life team which includes the areas of campus life and wellness services. Assist students coming to the office seeking help with various student services. This person must be a problem solver and be comfortable dealing with a wide range of situations and be able to communicate effectively and confidentially with parents, students, faculty, staff, and members of the greater community.
Examples of Duties
Wellness Services (75%) – Academic Schedule (while students are in session)
Provide administrative support to Student Health Services staff and Counseling Services staff in the University Wellness Center in the provision of services for Husson University students
Manage pre-matriculation immunization requirements, including certification and verification process of compliance.Answer telephones, greet patients, update and file patients’ medical and counseling records.Handle correspondence, schedule appointments, and assist in the arrangement, as necessary, of laboratory services.Provide health related documents prior to appointments, document in electric medical record (EMR), and coordinate with RN regarding patient triage if needed.Assists with inventory and ordering medical supplies.Responsible for hiring, supervision, and evaluation of Wellness Center student work study employees.Utilize time and attendance system for Wellness Center student work study employeesPerform data entry Assist in the development and maintenance of the EMR.Maintains strict confidentiality.Conform to acceptable attendance and punctuality standards.Assist with billing for services rendered in the University Wellness Center (medical and psychological) as appropriate.Assists in other areas of University Wellness Center support as required (e.g. outreach programs, wellness activities, specialized clinics)Pulls data required from the electronic medical record.Attend monthly Husson Administrative Assistant meetingsCampus Life Service (25%) – Semester Breaks & other Academic Breaks
Provide clerical and administrative functions at the

Student Life areas such as residence life, student activities, commuter services and student and community engagement.
Disseminate information received via phone, mail, and direct contact to the appropriate resource.Coordinate multiple calendars and schedule meetingsComplete various clerical duties which include filing, copying, scanning, word processing, and spreadsheets.Prepare financial documents (e.g. deposits, purchase orders, invoices, and reimbursements).Process documents (e.g. memos, policies, and spreadsheets).Update and post information on website and other marketing and social media platforms.• Data entry and follow-up for:
Maintenance/custodial services and technology requests.Assist Housing Office inquiries via phone and email and process, file, log requests, and follow-up on resident requests. • Assist with special projects (e.g. Student Orientation, Welcome Weekend, Family & Friend Weekend, etc.).Typical Qualifications
Education:
• Associate of Arts/Science degree in appropriate area.
• CPR certification preferred.
• Preferred education: Bachelor of Arts/Science degree in related field of study
Experience:
• Minimum of 2 years office experience in the service industry, preferably in the medical field and in an ambulatory care setting.
Knowledge, Skills and/or Abilities:
• Familiarity with ambulatory care and adolescent and adult health preferred.
• Ability to communicate effectively with co-workers and providers.
• Ability to multi-task.
• Requires attention to details.
• Skill in use of computers and software.
• Preferred: Knowledge of billing practices and procedures, including health insurance services.
