Job Description:
Under the direct supervision of the Executive Vice President this position provides administrative and secretarial support for the Management Team and department.
The Administrative Assistant/ Receptionist performs routine clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping. In addition, performs duties such as coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects.
Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Essential Functions:
- Develops and maintains office forms and procedures and assists with administrative tasks.
- Answers central telephone system and directs calls accordingly.
- Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, citizens and others and refers, when necessary, to the appropriate person, official or department.
- Prepares outgoing mail; sorts and distributes incoming mail.
- Duplicates and distributes materials.
- Composes, types and edits correspondence, reports, memorandum and other material.
- Assists public with the use of department facilities.
- Maintains office supply inventory.
- Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
Requirements
- Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting, and bookkeeping.

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
