SUMMARY
Under general supervision and on own initiative performs advanced administrative and business details that are commensurate with and in support of the Senior Management team.
ESSENTIAL FUNCTIONS
• Maintains confidentiality.
• Drafts letters, memos, emails and other correspondence from handwritten, verbal, or email notes via MS-Word or appropriate software program.
• Prepares simple to complex spreadsheets that may include graphs via MS-Excel from data that is made available, or gather raw data as directed.
• Prepares simple to complex presentations from rough outline via MS-PowerPoint.
• Schedules and maintains calendar of appointments, meetings, and travel itineraries and coordinate related arrangements.
• Establishes and administers files, binders and records including employee personnel files.
• Prepares materials for training sessions or other meetings, to include agenda, binder and presentation preparation.
• Event planning for company events that may encompass site selection, contract negotiation, site preparation, and catering coordination.
• Contributes to maintaining aesthetics of office (clean, safe).
• Provides general administrative support and back-up to other administrative assistants and the reception desk, as needed.
• Responsible for ordering supplies, arrange for equipment maintenance, handling meeting and facility arrangements, maintaining phone lists, organizational charts, and facility maps.
• Screens telephone calls, receives and directs visitors, resolves routine and some complex inquiries.
• Processes expense reports and invoices.
• Provides logistical support for Senior Management activities including candidate interview scheduling, training, meeting support, employee relations, and special events.
• Data entry including job postings, interview schedules, and training records.
• Manages projects with longer term focus while maintaining day to day tasks.
• Maintains satisfactory attendance, to include timeliness.
• Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations.

QUALIFICATIONS

MINIMUM QUALIFICATIONS
• High school diploma or State-issued equivalency certificate plus 2 years of administrative support experience reflecting increasing levels of responsibility.
• Candidates for this position must have a valid driver's license and a safe driving record. Required to obtain a California driver's license or appropriate state driver's license within 30 days of hire.
• Required to travel for special events as needed.
• Required to work overtime and weekends when necessary.
• Experienced in reading and comprehending simple instructions, correspondence, and memos.
• Experienced in writing simple correspondence and procedures.
• Skilled in adding, subtracting, multiplying and dividing in all units of measure, using whole numbers, common fractions, and decimals.
PREFERRED QUALIFICATIONS
• Skilled in the use of MS Word, MS Excel, MS PowerPoint, MS Outlook at an intermediate level.
• Knowledge of standard office practices and procedures to include ability to compose and format correspondence, business proposals, legal documents and presentations (PowerPoint).
• Strong verbal, written, analytical, organizational and interpersonal skills.
• Excellent telephone skills.
• Experience working with all levels of management.
• Experience working independently and exercising confidentiality and sound judgment in making decisions.

Compensation
- Hiring Hourly Rate: $25.96 - $30.48.
- Actual compensation amount paid may be lower or higher to be determined by factors other than race and gender such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
