Responsibilities
Accounts Payable
- Manage the day-to-day accounts payable function
- Create, update and maintain AP vendor profiles and physical files
- Onboard suppliers, request W-9 forms assess if they are 1099 eligible
- Review invoice expense coding at department and function level
- Ensure proper documentation and appropriate approvals
- Enter invoices into accounting system and process ACH payments
- Review employee expense reports to ensure proper reimbursement, request missing receipts and question charges for more information
- Weekly vendor invoice payments via ACH, check or wire transfer
- Reconcile vendor statements, respond to vendor inquiries and resolve any invoice discrepancies.
- Request copies of outstanding invoices and credits
- Manage annual 1099 reporting
- Coding and monitoring of corporate credit card charges
- Fill out credit applications forms from new vendors
Payroll
- Prepare biweekly regular, overtime and supplemental payrolls
- Review the non-exempt employee for accuracy and completeness
- Validate all payroll-related changes: new hires, terminations, transit, parking, 401(k), Roth, direct deposits, status changes, withholding changes, address changes, determine if medical deductions were correctly processed in HR by agreeing the paperwork submitted by HR to the printouts from the system
- Ensure compliance with payroll laws and tax notices
- Act as additional liaison with external payroll provider; troubleshoot and resolve issues that arise
- Answer employees’ questions and inquiries about their paystub
- Issue annual W-2 forms, ensure accuracy and distribute in a timely manner
- Assist in providing reports for quarterly filings and annual payroll audit
- Prepare reports for State Insurance Fund workers compensation annual audit
Other
- Assist with month end closing accruals
- Ad-hoc accounting projects and reports
Qualifications
- Relevant Associates degree required; Bachelor’s degree is preferred
- 2+ years’ experience in accounts payable and payroll functions
- Solid math skills
- Ability to prioritize and multitask
- Strong organizational skills
- Strong communication skills – interacting with different departments within the organization
- Strong MS Office skills – Word/Excel/Outlook. Knowledge of payroll software a major plus
- Deadline driven and detail-oriented
- Team player with the ability to work collaboratively
Salary and Total Rewards Package:
Starting pay range: $45,000 to $55,000, based on relevant experience and qualifications.
