Accounting/Shipping Specialist Job Description

Position Summary: The Accounting/Shipping Specialist is responsible for handling a broad spectrum of duties such as general bookkeeping, accounts payable, accounts receivable & Shipping. This position manages outgoing bills, invoices and manages incoming payments such as preparing & mailing invoices to customers, posting payments to customer accounts, organizing and filing deposit receipts as invoices are paid, reconciling cash receipts and deposits, and preparing reports on delinquent accounts and customer payment profiles.

Accounting Essential Functions:

• Prepares and issues customer invoices and account statements
• Prepares and issues vendor settlements
• Assists in the application of cash and preparation of bank deposits
• Matches invoices, purchase orders and verify amounts
• Identifies delinquent accounts and insufficient payments; collects revenue by reminding delinquent accounts and notifying customers of insufficient payments
• Processes invoices to ensure information is current and up to date
• Prepares financial reports by collecting, analyzing, and summarizing account information & trends
• Maintains account ledgers by posting transactions.
• Assist with month-end and year-end close.
• Maintains financial security by following internal accounting controls
• Maintains financial historical records by filing accounting documents
• Ability to multi-task and work in a fast-paced environment
• Ability to handle multiple projects, priorities, and issues simultaneously
• Strong analytical, logical, and problem-solving skills
• Ability to collaborate and work well with others, in addition to the ability to work independently
• Strong written and oral communication skills
• Excellent organizational skills; detail-oriented with a high degree of accuracy
• Strong computer skills, strong proficiency in Microsoft Excel & QuickBooks is necessary

• Maintains a neat, orderly, and organized work area at all times

Shipping Essential Functions

·         Prepare shipping documents such as BOL’s, shipping/product labels, pallet tags & packing lists

·         Route freight to provide the most economical transport of goods and to meet customer requirements

·         Request freight quotes as necessary from established freight vendors

·         Responsible for handling all inbound and outbound freight including scheduling dock appointments

·         Ensure orders ship out on time and follow up with freight carriers if not picked up on scheduled dates

• Works with customers in obtaining Proof of Deliveries (POD’s)
• Excellent customer service skills, attentiveness, information retention, tact and diplomacy in dealing with internal and external customers

Job Requirements: Must have good phone communication, organized, safety oriented, GREAT ATTENDANCE is a MUST, physically able to bend and twist, good hand/eye coordination, basic math skills, good personal hygiene required.
