Job description

Reporting to the department manager, the incumbent is responsible for independently managing all academic personnel processes for the department of Anthropology. The department consists of approximately 42 Senate faculty and 20 Non-Senate faculty, which includes lectures, adjuncts, visiting faculty, recalled emeriti, and visiting scholars. The incumbent acts as the primary resource person and proactive facilitator for academic appointments/reappointments and personnel review. The use of OPUS and UCPATH is required to accomplish personnel actions including processing summer ninths, stipends, course buyouts, leaves and sabbaticals, merits, promotions, new hires, and separations and incumbent may serve as a backup for other academic appointments that are subject to Academic Personnel policies. The role is also responsible for coordinating the faculty search and hiring process and compiling and organizing departmental data for reports as requested by the chair and the manager.

Detailed working knowledge of UCPath personnel/payroll system and personnel procedures.

Thorough working knowledge of OPUS and UC Recruit and ability to enter accurate and detailed information into the systems.

Broad-based and detailed working knowledge of university policies and procedures, specifically: The Call, Academic Personnel Manual (APM), and UC/UCLA Policies and Procedures manuals.

Ability to be resourceful to find where to go within the organization for needed information and the skill to effectively judge what information should be passed on to different levels of management.

Demonstrated skill in handling confidential personnel matters and information with tact, sensitivity and discretion.

Knowledge of university and government procedures and policies to initiate and process visa and permanent residency petitions.

Demonstrated skill in using Microsoft Office products, including Word, Excel, and Outlook to successfully perform the tasks of the job.

Skill in communicating (verbally, electronically, and in writing) clearly and effectively using appropriate vocabulary and grammar to obtain and convey information, and explain complex policies and procedures to individuals at various organizational levels.

Demonstrated ability to compose, edit and proofread departmental reports, spreadsheets, memos, and correspondence; knowledge of standard English grammar, punctuation, prose style and correspondence, list and manuscript formats.

Working knowledge of University of California academic personnel policies and procedures.
