Job Title: HEO Branston Team Manager Band: HEO (Band C) Business Group: COO Directorate: Security and Information Group Team: Branston Operations Location: Branston Registry, Burton Upon Trent, DE14 3EG Purpose Excellent information and records management is knowing what information you have across an organisation and having the right information available at the right time by those who need it. Being good at this is vital for any organisation as information plays an integral role in delivering day to day business, underpins policy and operational delivery, ensures legal obligations are met and safeguards the corporate record for use by civil servants in the future and the need for transparency with the public.

Branston Operations, encompassing the offender subject access request (SAR) and records management teams, are based in the Information Services Division, within the Ministry of Justice 's (MoJ's) Security & Information Group. Our purpose is that we will disclose the right information, to the right people, at the right time, by responding to offender SARs and records retrieval. The team is responsible for processing approximately 5,500 SARs per annum and manage circa 2 million records.

The work is high profile, with tight legislative timelines to meet. We aim to put users at the centre of what we do and strive to continually improve our systems and processes in response to feedback. We are moving forward with a programme of transformation to ensure that we deliver a high-quality service, to the appropriate standard and to the appropriate timescales, whilst supporting staff wellbeing and development.

This is an ambitious programme of change over the coming years and the role is critical in shaping its success. The team works collaboratively with His Majesty's Prisons and Probation Service (HMPPS) and His Majesty's Courts and Tribunals Service (HMCTS) as our key partners in delivery and stakeholder engagement. You will be joining the Knowledge and Information Management (KIM) profession at a very exciting time as this transformation is underway in MoJ and across government.

HEO Team Manager Role We are looking to fill an interesting and stretching role in our operational delivery team within the Security and Information group in MoJ. This is an opportunity to be part of a delivery team which is undergoing transformation of its services. The successful candidate will be placed into one of the below positions within the Operations unit: Branston Records Management Service HEO - Registrar Branston Subject Access Request HEO Vetting Team Manager Branston Subject Access Request Applications and Despatch Vetting Team Manager Branston Subject Access Request Partnerships and Correspondence Responsibilities and Main Activities associated with the above roles The job holder will be required to undertake a number of the below duties and responsibilities, based on their specific role: Managing Band D (EO) Records Managers or SAR team Leaders, leading and inspiring the SAR and RMS team, promoting inclusion, celebrating diversity and acting as a role model for colleagues.

Planning of internal resources to ensure all business targets are met, including team and individual quality, efficiency and productivity targets. Performance reporting and the use of MI to identify emerging issues and corrective action. Accountable for implementing and maintaining appropriate systems to enable effective planning and scheduling.

Manage professional relationships with a wide range of internal and external stakeholders, and act as lead point of contact for some external parties. Draft and sign-off correspondence. Have oversight of all correspondence, complaints, litigation and partnership work for the unit, producing accurate management information and escalating risk as appropriate.

Being accountable for developing, updating and maintaining correspondence templates, SOPs, processes Provide advice and support to the team on complex queries, seeking legal and senior management advice when appropriate. Managing the Branston MoJ Registry asset. Ensuring that records are stored and managed appropriately in line with the Public records Act (PRA) and relevant Records Retention and Disposition Schedule (RRDS).

Managing new deposits into the Registry, making sure the correct files are added to relevant databases. The successful candidate will be required to work in a flexible way, undertaking any other duties reasonably requested, to support the wider SIG team and senior leaders, commensurate with the grade and level of responsibility of this post. Knowledge, Skills and Behaviours Essential Criteria: A strong commitment to delivering a high-quality service and regularly reviewing processes.

The team provides a dedicated and expert function, so a strong customer service focus is vital. Managerial experience with proven ability to lead and develop teams and individuals through significant change. Collaborative working with a wide range of stakeholders to set priorities, objectives, timescales and developing suggestions for improvements.

Ability to horizon scan in order plan and organise departmental priorities. Experience of delivering and embedding change. Drafting and communications skills, with a demonstrable ability to deliver clear and persuasive arguments that are effective in reaching targeted audiences.

Carry out analysis of performance to show trends and highlight areas for improvement, being measured and considered with solutions to combat any concerns with oversight from the Head of Offender SAR Team, Head of RMS and Head of Operations. Experience of leading a team in a digital environment, streamlining processes, and delivering good quality services that provide value for money Desirable skills: Experience of Records Management and successful delivery in this field. Working knowledge of the Public Records Acts 1958 and 1967, Freedom of Information Act 2000, Data Protection legislation, such as GDPR and the 2018 Data Protection Act.
